An online shop rarely stands alone. Articles, prices and stock live in the ERP or merchandise management, product texts and images in a product information system, shipping and invoices in further systems. Without a connection employees maintain the same data several times, and errors creep in. A Magento connector solves that: it transfers data automatically, in the right direction and according to clear rules.

On this page you find our overview of the connectors by system group. We develop every Magento connector project by project and do not sell ready-made products off the shelf. For the choice of the way read the guide to ERP integration, for the shop side the guide to the B2B shop. If you first want to clarify which systems your shop needs, read the guide ERP, merchandise management and PIM. Whoever needs no external ERP finds the way through the admin on the page Magento as ERP.

01

What a Magento connector is and what it achieves

A Magento connector is the link between your shop and another system. It picks up data where it is maintained as the leading source, brings it into the form Magento needs and sends data back in the other direction, for example orders or status messages. A good connector works in the background, logs every step and reports errors instead of hiding them.

The benefit shows in daily work. Orders arrive in the ERP without retyping, customers see the current stock in the shop, and product data has to be maintained in one place only. That saves time and prevents the errors that occur with manual transfer. Especially in business with companies, where prices, conditions and payment terms come from the ERP, a clean Magento connector is the prerequisite for the shop to work at all.

A connector is not a one-off project but ongoing operation. It has to survive updates of Magento and of the connected system, absorb short outages and stay traceable. That is why log, documentation and an agreement on care belong from the start with us.

System groups at a glance: which data flows where

The table shows which data typically flows between shop and system for the three system groups. In your business it may differ.

We also connect further systems after checking the interface, for example further merchandise management and ERP systems or further product information systems. If your system is not listed here, write to us: we check honestly whether a Magento connector is feasible and sensible. Every Magento connector is developed by us per project and with a log, and a Magento connector is never a ready-made product from the shelf.

04

Shipping, fulfillment and shipping cost logic

Besides ERP, merchandise management and product information system there are further integrations that play a role in daily shop operation: shipping providers with labels and tracking, fulfillment partners who take over storage and shipping, and shipping costs that depend on weight, zone, goods value or special attributes. Magento brings basic functions for this that are often not enough when the rules of your business are more complex.

We also develop such integrations and individual shipping cost logic project by project and have dedicated pages: integration of shipping carriers}), fulfillment integration}) and shipping cost logic}). Write to us which providers you use and which rules should apply to shipping costs, and we check how this can be mapped.

05

ERP, merchandise management and PIM: what is the difference and why does the shop need each of them?

The terms are often mixed in daily speech, so here is a short classification. An ERP system (enterprise resource planning) maps the processes of a company: purchasing, warehouse, sales, accounting, often also production and personnel. A merchandise management system is narrower and takes care of articles, stock, orders, shipping and invoices, above all in retail. The border is fluid, and many systems carry both names.

A product information system (PIM) has a different task: it collects, arranges and refines product data, that is texts, attributes, images and translations, and provides it for different channels. A PIM replaces neither ERP nor merchandise management but supplements them: prices, stock and orders lie in the ERP, the description of the products in the PIM, and the shop shows both together.

For a Magento connector this means: depending on the business one, two or all three systems have to be connected. Whoever has only a merchandise management system needs one integration. Whoever uses ERP and PIM needs two integrations that must not get in each other's way. That is why at the beginning we define which system leads for which data.

06

Who leads for what: the distribution of data between shop and systems

The most important decision before every Magento connector is data ownership. It determines who may change data and who only receives it.

Article master and prices

Usually lie in the ERP or in merchandise management. The shop receives them and at most adds what is needed only for the display.

Descriptions, attributes and media

Lie in the PIM if there is one, otherwise in the shop. If there is a PIM, changes to these fields in the shop are not permanent.

Stock

Lies in the ERP or in merchandise management because stock movements also arise there. The shop displays it and reports reservations back.

Orders

Arise in the shop and go to the ERP or merchandise management, which are then responsible for shipping and invoice.

Where this distribution differs at your company, we record it in the inventory. It is exactly these deviations that make a Magento connector individual.

07

The technical ways of a Magento connector: API, middleware, file or ready-made module

There are essentially four ways to build a Magento connector. The direct connection through the programming interface of the system is lean if the system has clean interfaces. A middleware mediates between several systems and catches errors but costs additional operation. A file exchange is simple and robust but not in real time. A ready-made module saves development time if your process corresponds to the standard. The decision aid is in the guide to ERP integration.

Which way fits your Magento connector depends on data volume, timeliness, existing infrastructure and budget. We recommend not beginning with the technology but with the question how current your data really has to be. Often a short rhythm is enough instead of real time, and that saves effort and operating costs. Where a ready-made product fits, we tell you, even if it means less work for us.

Which system do you want to connect?

Send us briefly the system, the version and the desired data flows. We reply within 24 hours and tell you honestly whether and how we can help.

08

The Magento side of a connector: how we implement it in the shop

On the Magento side we build every Magento connector as its own module according to the standards of the system, without interventions in the core. The module uses the interfaces and queues of Magento so that transfers run in the background and the shop does not become slower for visitors. Orders are placed in a queue on arrival and processed there until the connected system has confirmed them.

Prices by customer group, tier prices and several warehouses are mapped by Magento with its own functions that the connector fills. Where possible we use these standard functions instead of inventing our own tables. That keeps the shop update-capable and lets other developers join in later. In the admin you see a log with date, record and result and settings for assignments of payment methods, shipping methods and tax classes.

09

Security and data protection with a Magento connector

A Magento connector connects systems with business data, so clear rules apply. The exchange runs encrypted, credentials do not lie in the source code but in the protected configuration, and the connector receives only the rights it needs. Access belongs to a separate service account, never to a private account of a person.

When testing we work with test data or anonymized data as far as possible. As soon as developers get access to personal data, for example customer accounts or orders, an agreement on commissioned data processing is needed. We clarify that before the start so that you are legally well set up. These notes are not legal advice, the concrete arrangement depends on your company.

10

Three typical constellations (examples, not customer references)

The following constellations are examples from the practice of connector projects, not statements about particular customers. The first is a merchant who has so far transferred orders from the shop into merchandise management by hand. A Magento connector for orders and stock removes this manual work and is often the fastest gain.

The second is a manufacturer with a large catalog whose product data lies in a PIM. The connector brings texts, attributes and media into the shop while prices and stock come from the ERP. Here the distribution of data ownership is the real task, the technology follows from it.

The third is a company in business with business customers whose customers have their own prices and payment terms. The Magento connector fetches customer prices from the ERP, and the shop shows them after login. What such requirements look like in the shop is described in the guide to the B2B shop.

11

When a Magento connector pays off and when not

A Magento connector pays off if data regularly moves between shop and system and the manual work costs time or causes errors. Typical signs are orders that are retyped, stock that is wrong in the shop, prices that are maintained twice, or product data that drifts apart in several systems. The larger the number of orders and articles, the faster a Magento connector pays for itself.

It pays off less if data arises only rarely or a simple export is enough. With a few orders per week a daily file exchange can be sufficient, and with a small catalog a PIM may be more than your business needs. We tell you that honestly too: a Magento connector is not an end in itself but a tool that has to pay for itself through saved time and fewer errors.

A simple calculation helps: how many minutes per order do your employees spend transferring, checking and correcting, and how often does an error occur that causes costs? From this it follows what a Magento connector can save. We are glad to help you with this consideration before you decide, and afterwards we estimate the effort in writing.

12

How a connector project runs

We keep the start deliberately short so that you quickly know whether and how the integration is feasible.

01

Inventory

We clarify system, version, operation, access, the desired data flows and the special cases. The result is a short concept.

02

Test environment

We work against a test system and a Magento development state, never first against live data.

03

Implementation

The data flows are built one by one, with a log, repetition on errors and clear rules for conflicts.

04

Test and start

You check with real examples, then we start step by step and look at the log together in the first weeks.

Between the steps you stay informed: you receive a short status of what is done, what comes next and where we need your decision. We record decisions in writing.

13

How you recognize a good Magento connector

Regardless of who builds it: these six points distinguish a reliable connector from one that causes trouble later.

  • Clear data ownership

For every type of data it is defined which system leads, and there is a rule for the conflict case.

  • Log

Every transfer is traceable, errors are reported visibly.

  • Repetition

Failed transfers are repeated without anything arriving twice.

  • Buffering

Short outages of a system do not lead to lost orders.

  • Update capability

The connector does not intervene in the Magento core and survives updates.

  • Documentation

Assignments, rules and access are described and lie with you.

These points apply to our work just as to ready-made products of other vendors. When you compare a quote for a Magento connector, ask about them.

14

Effort and price: how we calculate a Magento connector

A flat figure for a Magento connector would be unreliable because the effort depends on your constellation. It is determined by the number of data flows, the quality of the data in the connected system, the number of special cases with prices, warehouses and customers and the required timeliness. A data flow in one direction is built much faster than a synchronization in both directions with conflict rules.

We work with an open hourly rate of 30 euros net, without emergency surcharge. After the inventory you receive a written estimate that lists the data flows individually so that you can control scope and order yourself. For clearly defined packages a fixed price is also possible. All prices are on the page pricing.

Besides the development, include the running items: hosting, maintenance and, where applicable, licenses or fees for the connected system. We show these items separately in the estimate. Ongoing care can be regulated through a maintenance contract.

15

What you do not get from us and how references stand

An honest offer includes naming the limits. We do not sell a ready-made connector off the shelf but develop every Magento connector project by project according to your processes. That means: we implement exactly what you need, but not in a day and not for a flat price that cannot be calculated beforehand.

We are a web agency in which fixed freelancers work together, all from home offices. We are not a large agency with a hundred employees and cannot take on every project at every time. We tell you early whether and when we have capacity. We name customers only with their consent, and in the first conversation we gladly talk about comparable constellations.

We give no legal advice. Questions about commissioned data processing, data protection and the license terms of the connected systems you clarify with your legal adviser and the vendor. What is technically possible depends on version, operation and license of your system and is checked in the inventory.

Let us connect your systems with the shop

With clean integrations you maintain data in one place only. You do not have to decide anything today: a first conversation clarifies what is feasible and costs nothing.

Frequently asked questions about the Magento connector

Do you develop a ready-made connector for purchase?

No. We develop every connector project by project according to your processes. That means a better fit but also an estimate instead of a list price.

For which systems are there own pages?

For Business Central and Navision, SAP, JTL-Wawi, plentymarkets, Akeneo, Pimcore, Lexware, Sage, WISO and DATEV as well as for shipping carriers, fulfillment and shipping cost logic. We connect further systems after checking the interface.

What does a connector cost?

That depends on data flows, special cases and the quality of the data in the connected system. We estimate in writing after an inventory, the hourly rate is 30 euros net.

How long does a project take?

That depends on the scope. A project often begins with orders and stock and grows later. A first data flow can usually be used productively much earlier than the whole project.

Who maintains the connector after the start?

That can be regulated by a maintenance contract. Without care an interface can fail on updates. More on the page on maintenance packages.

Do you need access to our systems?

We need access to a test system and to the interfaces. You define the permissions with your IT department, and we touch productive data only after approval.

Is there a connector for SAP?

Yes, we describe the integration of SAP on the page on SAP integration and in the guide to the SAP interface.

How do we start?

With a short message through the contact form. Please name your system, the version and the desired data flows. We reply within 24 hours on working days.
