Magento Billbee: Connect Orders and Shipping Without Double Maintenance

Billbee bundles orders from different sales channels, manages articles and stock to a manageable extent and generates invoices, delivery notes and shipping labels. For small and mid-sized online merchants it is often the central place where daily work happens.

For Magento Billbee that means: the shop becomes one more sales channel. Orders go from the shop to Billbee, stock changes and shipping status come back, and depending on the concept article data also flows in one of the two directions. The advantage is obvious: your employees keep working in Billbee and do not have to enter orders anew.

Billbee is often used next to another system, for example next to accounting or a warehouse. That influences the integration: we clarify in the inventory which role Billbee plays with you, which system keeps the stock and which processes must not change.

Whether and how Billbee supports a Magento shop as a channel itself and how much of that is enough for your process we check before the quote instead of assuming it. We clarify exactly such peculiarities before we promise anything.

Which data flows in Magento Billbee you define with us in the inventory. Typically there are five areas.

For Magento Billbee, Billbee provides a programming interface that according to our sources is reachable under a fixed address. The login needs two pieces of information: an API key that is sent along as a header, and the credentials of a Billbee user with an own API password. The interface must be enabled in the settings of the account, and the API key is, according to information from third-party sources, issued by the vendor on request.

The interface limits the number of requests. When exceeded it answers with an error message and demands a waiting time. The information on the exact limits contradicts itself in the sources we found, so we check it before the quote against the official description of the vendor. For Magento Billbee we build the transfer so that it respects these limits and repeats cleanly after waiting times.

For Magento Billbee the same holds as for every integration: the interface is only half of the work. The other half are your rules, for example when an order counts as paid and is passed on, how discounts and shipping costs land as items in Billbee, which shipping method belongs to which parcel service and how partial deliveries and cancellations are handled. We keep these assignments in the admin as settings so that they can be changed without development and the department and the developers share the same basis. With Magento Billbee we also like to begin with a short pilot: a few orders, one shipping route, one stock comparison before everything follows.

Because access and key are bound to an account and a user, we create an own user for the integration. This keeps it traceable what the integration did. We avoid direct access to the database, with a cloud service it is not intended anyway.

For the connection of Billbee and Magento there may be add-on products from third-party vendors or direct support by Billbee itself. Before a decision we check honestly which of that fits your process and how it is maintained. If an existing product covers your requirements, it is often the more economical choice, and we will tell you so.

An individual development for Magento Billbee pays off if your processes deviate from the standard: special shipping methods, bundles, several warehouses or processes that a ready-made product does not know. It is more expensive at the start but fits exactly. Include the care as well: a ready-made product saves development time but causes license and update costs, and an individual development needs someone who looks after it.

On the Magento side we build the integration as its own module according to the standards of the system, without interventions in the core. The module uses the interfaces and queues of Magento so that transfers run in the background and the shop does not become slower for visitors. Orders are placed in a queue on arrival and processed there until the ERP has confirmed them.

Prices by customer group, tier prices and several warehouses are mapped by Magento with its own functions that the integration fills. Where possible we use these standard functions instead of inventing our own tables. That keeps the shop update-capable and lets other developers join in later.

In the admin you see what was transferred: a log shows date, record and result, with a filter for errors. For the peculiarities of Billbee we add settings in the admin, for example assignments of payment methods, shipping methods and tax classes, so that changes need no development.

Billbee is not a classic ERP but a hub for orders, shipping and documents. Magento Billbee is therefore built lean: orders and stock are the core, everything else comes only if it is really needed.

We see these points again and again in projects. They can be planned if they are known early.

  With many orders or frequent comparison the permitted number of requests is exceeded.

  The integration uses the access of an employee and breaks when staff changes.

  Partial deliveries, returns, credit notes and foreign orders are missing in the concept.

An integration connects two systems with business data, so clear rules apply. The exchange runs encrypted, credentials do not lie in the source code but in the protected configuration, and the integration receives only the rights it needs. Access belongs to a separate service account, never to a private account of a person.

When testing we work with test data or anonymized data as far as possible. As soon as developers get access to personal data, for example customer accounts or orders from Billbee, an agreement on commissioned data processing is needed. We clarify that before the start so that you are legally well set up.

The log of the integration contains what is necessary for operation but no credentials and no unnecessary personal data. Retention periods are defined with you. These notes are not legal advice, the concrete arrangement depends on your company.

The following constellations are examples from the practice of Magento Billbee projects, not statements about particular customers. The first is a merchant who has so far sold only through marketplaces, uses Billbee as the central place and builds an own shop. Billbee remains the center, the shop becomes one more channel, and the orders should land in the same process as all others.

The second constellation is a merchant with many shipping methods and parcel services set up in Billbee. The challenge lies in assigning the shipping methods of the shop to the settings in Billbee so that labels and tracking numbers arise without manual work.

The third constellation is a business that switches from another shop system to Magento and keeps Billbee. Here the existing connection is the benchmark: what it achieves today the new shop should at least achieve. How the switch itself runs is described on our page on migration.

An interface is not a one-off project but ongoing operation. After the start a log monitors every transfer: what was transferred when, what failed, what is repeated? Errors that cannot be fixed automatically are reported visibly so that nobody learns of them only through a customer complaint.

Updates change the situation. A Magento update, a new state at Billbee or a change of the vendor interface can affect the integration. Therefore the planning includes an agreement on how updates are tested and who approves them. Ongoing care can be regulated through a maintenance contract that covers monitoring, updates and error fixing.

Documentation is part of the delivery. You receive a description of the data flows, the assignments and the rules for special cases so that your team or another provider understands the integration and can continue it. Source code and access stay with you.

A flat figure for Magento Billbee would be unreliable because the effort depends on your constellation. It is determined by the number of data flows, the quality of the data in Billbee, the number of special cases with prices, warehouses and customers and the required timeliness. A data flow in one direction is built much faster than a synchronization in both directions with conflict rules.
