Magento as ERP: handle customers, invoices, orders, quotes, prices and stock directly in the admin

Smaller companies do not always need an external ERP. Magento brings a lot, and we extend the admin where your process demands more. We implement Magento as ERP project by project, on request and according to your processes.

Many smaller companies run a Magento shop and next to it another system for orders, invoices and stock. That costs licenses, requires an interface and means that the same data lives in two places. For simple processes it also works without: Magento already manages orders, invoices, customers, prices and stock, and with extensions in the admin a solution can be made of it that carries the daily work of a small company.

This page describes what Magento as ERP can achieve, where we extend the admin and when an external system remains more sensible. The areas have their own pages: customer management, invoices, order management, quotes, price management and inventory management. An introduction is offered by the guide Do I need an ERP for my online shop?.

01

What Magento as ERP means and who it is meant for

An ERP system maps the processes of a company: customers, quotes, orders, invoices, stock, purchasing and more. Magento is a shop system that already knows some of these processes because every order in the shop creates a customer, a sales order, an invoice, a shipment and a stock booking. Magento as ERP means extending these existing building blocks in the admin so that smaller companies can do their work there without maintaining a second system.

It is meant for companies with manageable processes: merchants and manufacturers with a shop, a few employees and the wish not to pay for an ERP they use only to a fraction. B2B businesses also belong to it if their processes consist of customer conditions, quotes, orders and invoices. The simpler the processes, the better the approach fits.

The advantage lies in simplicity: one system, one login, one data basis, no interface that can fail and no license for a second program. The price is that Magento is not a full ERP. Where it is about financial accounting, payroll or production planning, an external system remains the better choice, and we tell you so openly.

Honesty about the scope matters to us: we do not build a ready-made product called ERP in Magento but extend the admin where your daily work needs it. For the areas named there are extensions that we have already implemented for customers and adapt to your processes on request.

Magento as ERP is therefore not a buzzword but a way of working: Magento as ERP means that your employees open the admin in the morning and find customers, quotes, orders, invoices, prices and stock there. Whoever introduces Magento as ERP begins with the area that costs the most manual work today and extends from there. Magento as ERP stays update-capable because we build on the standard. With Magento as ERP we also value rights, backups and a clean handover to your team.

02

What Magento brings out of the box

Before we extend anything, we use what Magento can already do in the admin. That is more than many expect.

Orders, invoices, credit memos and shipments

In the admin orders can be viewed, edited, partly invoiced and shipped, and credit memos can be created for invoices. You can also create orders yourself, for example for telephone orders.

Customer accounts and customer groups

Customers with addresses, order history and group assignment with which prices and rules can be controlled.

Prices in several levels

Catalog prices, special prices, tier prices, prices per customer group as well as rules for catalogs and carts.

Inventory management with several sources

Stock can be kept per source, and Magento can decide from which source to deliver when an order comes in.

Reports and roles

Evaluations of revenue, customers and products as well as admin roles with graded rights.

These basic functions remain the basis. Our extensions build on them instead of rebuilding them, and that keeps the solution update-capable. Which functions exactly exist in your Magento version we check in the inventory.

04

Magento as ERP or external ERP: a comparison

The table helps with the classification. It does not replace a check of your processes but shows where the limits lie.

AspectMagento as ERPExternal ERP
Systems and interfacesOne system, no interface to the shopTwo systems, one interface that has to be maintained
LicensesNo second license, costs for the extensionLicense for the ERP, often per user
ProcessesTailored for simple processesBroad, also for complex processes
Financial accounting, payroll, productionNot includedIncluded depending on the product
AdaptationAccording to your wishes, in the adminWithin the product, often with consultants
GrowthSensible up to a certain complexityScales to larger organizations

The limit does not run at the size of the shop but at the complexity of the processes. A merchant with thousands of orders and simple processes is often better served with Magento than a small business with production, payroll and a multi-stage supply chain.

05

When Magento as ERP is enough and when an external system is better

Magento as ERP is enough if your processes consist at the core of customers, quotes, orders, invoices, prices and stock and the accounting lies with the tax adviser or in a simple program. It pays off especially if you work today with tables and paper next to the shop or pay for an ERP that you hardly use.

An external system is better if you plan production, run payroll, manage several companies or need financial accounting in the house. It is also better if an ERP is already in use that runs well: then we connect the shop, see the page on the Magento connector. Both ways are legitimate, and we advise honestly which fits you.

An intermediate way is to begin with Magento and connect later: orders, invoices and stock run in the admin, and accounting gets its data through an integration, see the pages on DATEV and Lexware. This keeps growth open without paying for a large system early.

06

How we implement Magento as ERP in the admin

We build extensions as own modules according to the standards of Magento, without interventions in the core. Lists in the admin arise as overviews with filters, sorting and export, forms for editing as forms with checks, and you define settings yourself in the admin without every change needing a development. That keeps the shop update-capable and lets other developers join in later.

Every function gets permissions. In the admin roles can be created with exactly the rights a task needs so that, for example, sales may edit quotes but not change prices. In addition it can be recorded who changed what and when if your process demands it.

In doing so we use what Magento already can instead of rebuilding it: orders, invoices, customer accounts, price rules and inventory management belong to the standard and remain the basis. Our extensions build on it and supplement what your process additionally needs.

07

Typical pitfalls with Magento as ERP

We see these points again and again in projects. They can be planned if they are known early.

  • Too much at once

All areas are touched at the same time, and nothing is done properly.

  • Documents and taxes

Numbers, immutability and retention are not clarified with the tax adviser.

  • Rights

Everyone may do everything, and nobody knows who changed something.

  • Backup

There are no regular backups although the admin is now the heart of the business.

  • Switch without data

Customers, prices and stock from the old process are not taken over cleanly.

  • Too high expectation

A range of functions like in a large ERP is expected that Magento does not have.

Most of these points can be avoided with stages: first the area that saves you the most manual work, then the others. This way you see results quickly, and your team gets used to the new process step by step.

Shall we check whether Magento as ERP is enough for you?

08

How a project for Magento as ERP runs

We keep the start deliberately short so that you quickly see whether and how your process can be mapped in the admin.

01

Inventory of the processes

We record how you work today: who processes what, which lists and tables exist besides the shop and what is to be replaced in the admin.

02

Concept and draft

We sketch the extension in the admin, show you forms and lists and clarify rights and special cases before anything is built.

03

Implementation

The functions arise as modules according to Magento standards, one by one and with a log, without interventions in the core.

04

Test and start

You work with test data and real examples, then we start step by step and accompany the first weeks.

Between the steps you stay informed: you receive a short status of what is done, what comes next and where we need your decision. We record decisions in writing so that it stays traceable later why something was built this way.

09

Three typical constellations (examples, not customer references)

The following constellations are examples from practice, not statements about particular customers. The first is a small merchant with a Magento shop who writes invoices in a word processor, keeps stock in a table and collects customer data in the mailbox. Here we replace the three aids step by step with functions in the admin, beginning with invoices and stock.

The second constellation is a manufacturer with B2B customers who have their own prices and request quotes. The process consists of quote, order, delivery and invoice. We map it in the admin, with price lists per customer and quotes that turn into orders so that nothing is entered twice.

The third constellation is a business that uses an expensive ERP only for orders and invoices. Here the comparison pays off: what does the ERP cost over several years with licenses, interface and care, and what does the extension of the admin cost? We create the comparison with you before you decide, even if the result is to stay with the ERP.

In all three cases a small trial pays off: before the old process is switched off, your employees work in parallel for a few days with real examples in the admin and compare the result. Only then is the switch made. This way gaps show up early and cost little.

Whoever wants to use Magento as ERP asks about the effort first. Magento as ERP is estimated by us after an inventory, at 30 euros net per hour, and you see beforehand which areas bring the greatest benefit. Magento as ERP can be built in stages, and Magento as ERP is also possible for B2B businesses. Whether Magento as ERP or an external system fits better is decided in the end by your process, not by our preference.

10

Rights, security and data protection with Magento as ERP

In the admin several people work with business data, so clear rules apply. Every person gets a role with exactly the rights they need, access belongs to personal accounts, and the login to the admin can be secured with a second step. Credentials do not lie in the source code but in the protected configuration.

When testing we work with test data or anonymized data as far as possible. As soon as developers get access to personal data, for example customer accounts or orders, an agreement on commissioned data processing is needed. We clarify that before the start so that you are legally well set up. These notes are not legal advice, the concrete arrangement depends on your company.

11

Operation, updates and care of Magento as ERP

An extension in the admin is not a one-off project but belongs to ongoing operation. Magento updates, new requirements and changed processes demand care. Therefore the planning includes an agreement on how updates are tested and who approves them. Ongoing care can be regulated through a maintenance contract that covers updates, monitoring and error fixing.

Documentation is part of the delivery. You receive a description of the functions, the roles and the settings so that your team or another provider understands the extension and can continue it. Source code and access stay with you, and backups belong to every operation.

12

Effort and price of Magento as ERP: how we calculate

A flat figure for Magento as ERP would be unreliable because the effort depends on your processes. It is determined by the number of functions, the number of special cases, the roles and rights and the reports you need. Much of it already exists as a building block for customers that we adapt to your processes, and that lowers the effort compared with a new development.

We work with an open hourly rate of 30 euros net, without emergency surcharge. After the inventory you receive a written estimate that lists the functions individually so that you can control scope and order yourself. All prices are on the page pricing.

Besides the development, include the running items: hosting, maintenance and, where applicable, licenses. We show these items separately in the estimate so that you can compare the solution with an external ERP over several years, including its licenses and the connection.

13

What you do not get from us and how references stand

An honest offer includes naming the limits. We do not sell a ready-made ERP made of Magento but extend the admin according to your processes. For the areas named here there are extensions that we have already implemented for customers and adapt to your processes on request. They are not off-the-shelf products with a list price but building blocks that we tailor with you.

Magento does not replace a full ERP with financial accounting, payroll or production. We tell you openly when an external system makes more sense, and then connect it, see the page on the Magento connector. We name customers only with their consent, and in the first conversation we gladly talk about comparable constellations.

For invoices and other documents tax requirements apply, for example for numbers and immutability. We give no legal advice but implement the rules agreed with your tax adviser technically. We are a web agency in which fixed freelancers work together, all from home offices, and tell you early whether and when we have capacity.

Let us turn your admin into a workplace

With Magento as ERP, an extended admin lets you maintain customers, invoices, orders, quotes, prices and stock in one place. You do not have to decide anything today: a first conversation clarifies what is feasible and costs nothing.

Frequently asked questions about Magento as ERP

For which companies is Magento as ERP suitable?

For smaller companies with manageable processes, that is merchants and manufacturers with a shop who want to manage customers, quotes, orders, invoices, prices and stock in one place. B2B businesses also belong to it.

Is it cheaper than an external ERP?

Often yes because no second license and no interface arise. We compare the costs with you over several years before you decide.

Can I connect an ERP later?

Yes. If your company grows, an external system can be connected through a connector without the shop having to be rebuilt.

What about accounting?

Financial accounting stays with your tax adviser or in a program of its own. The shop delivers the data, see the pages on DATEV and Lexware.

Does Magento replace a full ERP?

No. For small companies with simple processes Magento is often enough, a full ERP with financial accounting, payroll or production it does not replace. We tell you openly when an external system makes more sense.

Are there ready-made extensions off the shelf?

No. We have building blocks from customer projects that we adapt to your processes on request, and we do not sell packages with a list price.

What does Magento as ERP cost?

That depends on functions, special cases and roles. We estimate in writing after an inventory, the hourly rate is 30 euros net.

Who maintains the extension after the start?

That can be regulated by a maintenance contract. Without care extensions can fail on Magento updates.

How do we start?

With a short message through the contact form. Describe how you work today and what is to become better in the admin. We reply within 24 hours on working days.
