Whoever writes quotes needs more than a cart. We build quotes into the Magento admin so that they are connected with customer account, prices and order, project by project and according to your process.
Many B2B businesses and merchants with advice-intensive products write quotes in a word processor, a table or in the ERP. When the order comes, it is entered again in the shop or in the admin. That costs time, and prices, items and conditions can differ from each other.
This page shows what Magento can do for quotes out of the box, what we add and how a quote in the admin becomes an order. It belongs to our offer Magento as ERP. Closely related are customer management, price management and order management.
A quote is a binding or non-binding document with items, prices, conditions and a validity. In the process it stands between inquiry and order: the customer asks, you create the quote, the customer accepts or negotiates, and the accepted quote becomes the order. Magento quotes mean mapping this path in the admin.
Three things matter. First: the quote uses customer data and prices from Magento so that nothing has to be copied. Second: it can be sent as PDF and is tracked, with statuses such as open, accepted, declined or expired. Third: the accepted quote becomes an order at the click of a button without items being entered again.
The requirements differ by business. A craft business needs quotes with free-text items and working time, a merchant quotes with tier prices and quantities, a manufacturer quotes with variants and delivery times. Therefore we build Magento quotes according to your process and not according to a template.
Magento quotes are no replacement for sales software with pipeline and forecast. They cover the way from quote to order, and we say openly if you need more.
With quotes the editions differ clearly. We first check what your version brings.
The open source version has no quote function of its own. Orders can be created in the admin, but a quote as a document is unknown to the system.
The B2B functions of Adobe Commerce contain company accounts and quotes that the customer requests and that can be negotiated. This is tied to the edition.
An order can be created in the admin for a customer, with items, prices and shipping method.
Prices per customer group, tier prices and rules exist in the standard and can be used for quotes.
Discounts on the cart are possible through rules.
Whether you use Open Source or Adobe Commerce decides the path. With Open Source we build the quote function as an extension; with Adobe Commerce B2B we check whether the negotiable quotes cover your process and add what is missing. We record the details in the inventory.
Which building blocks make sense depends on your business. Typical are these.
Items from the catalog or as free text, with prices from customer group or price list, discounts and validity.
Quote in your house layout as PDF, sendable by email, with tracking.
Open, accepted, declined, expired, plus a reminder to follow up.
On request a link through which the customer confirms the quote online.
One click creates the order from the quote with all items and conditions.
Several versions of a quote with change history.
The table shows what the editions bring and what we typically add.
| Area | Open Source | Adobe Commerce B2B | With our extension |
|---|---|---|---|
| Quote as document | No | Negotiable quote | Quote in the admin, as PDF |
| Company accounts | No | Yes | As needed through customer file |
| Tracking | No | Status in the quote | Status, validity, follow-up |
| Acceptance by customer | No | Through the account | Link for confirmation |
| Quote to order | No | Yes | At one click, with conditions |
The statements on Adobe Commerce describe the range of functions in overview. The details depend on version and license and are to be checked before a decision.
A typical process begins with an inquiry by email, phone or form. An employee opens the customer account and creates a quote. Items come from the catalog, prices from the customer group or a stored price list, special items are added as free text. The system calculates totals and tax and sets a validity.
The quote is generated as PDF and sent. From now on it is traceable: was it opened, accepted or declined, and when does it expire? A follow-up reminds the employee to follow up in time. Negotiations lead to a new version, the old one stays in the history.
If the customer accepts, by email or through a confirmation link, the quote becomes an order at one click. Items, prices and conditions are taken over without anybody copying. From there the path continues as usual: delivery, invoice, payment.
Magento quotes thus hang on the same data basis as customers, prices and orders. Whoever connects an ERP later hands over quotes and orders by the same path without the quote system having to be rebuilt.
A cart is enough if your customers buy standard products at list prices and do not negotiate. Then quotes are superfluous, and the shop does the rest.
Quotes become necessary if products need explanation, quantities and conditions are negotiated or customers need a document for their internal approval. That concerns many B2B businesses but also merchants with project business.
If an ERP already writes quotes, the integration is often the better way. See the page on the Magento connector. We advise whether Magento quotes or the integration means less duplicate work for you.
We build extensions as own modules according to the standards of Magento, without interventions in the core. Lists in the admin arise as overviews with filters, sorting and export, forms for editing as forms with checks, and you define settings yourself in the admin without every change needing a development. That keeps the shop update-capable and lets other developers join in later.
Every function gets permissions. In the admin roles can be created with exactly the rights a task needs so that, for example, sales may edit quotes but not change prices. In addition it can be recorded who changed what and when if your process demands it.
In doing so we use what Magento already can instead of rebuilding it: orders, invoices, customer accounts, price rules and inventory management belong to the standard and remain the basis. Our extensions build on it and supplement what your process additionally needs.
With Magento quotes we value commitment and traceability. A sent quote is not changed; changes create a new version. This way it can later be proven what was offered to the customer when. Prices in a quote are fixed and do not change if the catalog price rises later.
Legal questions, for example on binding effect, on non-binding clauses and on the texts in the quote, you clarify with your legal adviser. We build fields and text blocks so that your requirements can be represented.
Describe how you write quotes today and what happens afterwards. We reply within 24 hours with a first assessment.
Send inquiryWe often see these points with quotes.
The quote names other prices than the later order.
Quotes apply without limit, and old prices are demanded.
Open quotes are forgotten because nobody sees them.
Sent quotes are changed silently, and nobody knows what applies.
The quote is turned into an order by hand, and errors creep in.
A function is expected that does not exist in the edition used.
Fixing prices in the quote, setting a validity and automating the conversion into the order solves most of these problems. We check the edition before the first draft. With Magento quotes it has proven useful to begin with a template for the most frequent quote type and to take up special cases later. This quickly creates a process that is used in daily work, and your team tells us on the basis of real quotes which text blocks, discount rules and fields are really missing. Magento quotes thus grow with use instead of having to solve everything in advance. Clear Magento quotes also make negotiations easier.
We keep the start deliberately short so that you quickly see whether and how your process can be mapped in the admin.
We record how you work today: who processes what, which lists and tables exist besides the shop and what is to be replaced in the admin.
We sketch the extension in the admin, show you forms and lists and clarify rights and special cases before anything is built.
The functions arise as modules according to Magento standards, one by one and with a log, without interventions in the core.
You work with test data and real examples, then we start step by step and accompany the first weeks.
With Magento quotes we begin with the path from quote to order because most manual work occurs there. PDF, tracking and online acceptance follow in stages and are tested with real quotes.
The following examples are constellations from practice, not statements about particular customers. In the first case a wholesaler writes quotes in a table and enters them again in the admin after acceptance. With Magento quotes the order arises at one click from the quote.
In the second case a manufacturer sells machine parts with tier prices and individual delivery times. The quote takes the prices from the customer group, adds the delivery time per item and fixes the validity.
In the third case a customer needs a quote for his internal approval. The PDF in the house layout goes by email, and the customer confirms through a link. The employee sees the acceptance in the admin and starts the order.
Whoever wants to introduce Magento quotes asks about the effort first. We estimate Magento quotes after an inventory, at 30 euros net per hour, and you see beforehand which part brings the greatest benefit. Magento quotes can be built in stages, and Magento quotes is also possible for B2B businesses. Whether Magento quotes in the admin or an external system fits better is decided in the end by your process, not by our preference.
After the start we accompany the first weeks and adjust templates, text blocks and statuses where daily work shows something that was not visible in planning.
In the admin several people work with business data, so clear rules apply. Every person gets a role with exactly the rights they need, access belongs to personal accounts, and the login to the admin can be secured with a second step. Credentials do not lie in the source code but in the protected configuration.
When testing we work with test data or anonymized data as far as possible. As soon as developers get access to personal data, for example customer accounts or orders, an agreement on commissioned data processing is needed. We clarify that before the start so that you are legally well set up. These notes are not legal advice, the concrete arrangement depends on your company.
An extension in the admin is not a one-off project but belongs to ongoing operation. Magento updates, new requirements and changed processes demand care. Therefore the planning includes an agreement on how updates are tested and who approves them. Ongoing care can be regulated through a maintenance contract that covers updates, monitoring and error fixing.
Documentation is part of the delivery. You receive a description of the functions, the roles and the settings so that your team or another provider understands the extension and can continue it. Source code and access stay with you, and backups belong to every operation.
A flat figure for Magento quotes would be unreliable because the effort depends on your processes. It is determined by the number of functions, the number of special cases, the roles and rights and the reports you need. Much of it already exists as a building block for customers that we adapt to your processes, and that lowers the effort compared with a new development.
We work with an open hourly rate of 30 euros net, without emergency surcharge. After the inventory you receive a written estimate that lists the functions individually so that you can control scope and order yourself. All prices are on the page pricing.
Besides the development, include the running items: hosting, maintenance and, where applicable, licenses. We show these items separately in the estimate so that you can compare the solution with an external ERP over several years, including its licenses and the connection.
An honest offer includes naming the limits. We do not sell a ready-made ERP made of Magento but extend the admin according to your processes. For the areas named here there are extensions that we have already implemented for customers and adapt to your processes on request. They are not off-the-shelf products with a list price but building blocks that we tailor with you.
Magento does not replace a full ERP with financial accounting, payroll or production. We tell you openly when an external system makes more sense, and then connect it, see the page on the Magento connector. We name customers only with their consent, and in the first conversation we gladly talk about comparable constellations.
For invoices and other documents tax requirements apply, for example for numbers and immutability. We give no legal advice but implement the rules agreed with your tax adviser technically. We are a web agency in which fixed freelancers work together, all from home offices, and tell you early whether and when we have capacity.
With Magento quotes you save the copying and keep the overview of open quotes. A first conversation costs nothing and commits you to nothing.
Request the admin extensionThe open source version does not. Adobe Commerce B2B contains negotiable quotes. With Open Source we build the function as an extension.
Yes, with our extension at one click. Items, prices and conditions are taken over.
On request yes, through a confirmation link. The acceptance appears in the admin.
Prices are fixed in the quote as long as it is valid. You define the validity.
No. For small companies with simple processes Magento is often enough, a full ERP with financial accounting, payroll or production it does not replace. We tell you openly when an external system makes more sense.
No. We have building blocks from customer projects that we adapt to your processes on request, and we do not sell packages with a list price.
That depends on functions, special cases and roles. We estimate in writing after an inventory, the hourly rate is 30 euros net.
That can be regulated by a maintenance contract. Without care extensions can fail on Magento updates.
With a short message through the contact form. Describe how you work today and what is to become better in the admin. We reply within 24 hours on working days.
