The order area of Magento is built for the shop. We extend it so that your team processes orders with own statuses, responsibilities and notes, project by project and according to your process.
In the standard Magento shows orders with statuses such as pending, processing or complete. For many businesses that is too coarse: they want to know who is processing an order, whether goods were ordered, whether the payment has been checked and what the customer said on the phone. Such information then ends up in tables, slips of paper and emails.
This page shows what Magento order management can do in the standard, what we add and how we implement it. It belongs to our offer Magento as ERP. Closely related are invoices, inventory management and the integration of carriers, see the page on shipping and carriers.
Order management guides an order from receipt to completion: check, payment, preparation, shipping, invoice, possibly queries and return. Every step has a person responsible and a state. Extending Magento order management means making these steps visible and controllable in the admin so that no second list is needed.
Typical wishes are own statuses that map your process, assignment to employees, internal notes with timestamp, bulk actions for many orders at once, delivery notes and picking lists as well as filters that show at a glance what is to be done today.
For B2B businesses there are orders that do not arise in the shop: orders received by phone or email that an employee creates in the admin. These also belong in the same list and the same process.
Magento order management does not replace a production planning system. It covers the way from order to delivery, and we say openly if your process, for example with multi-stage manufacturing, needs another system.
The standard offers a solid basis for shop operation. We first check how far it carries for you.
All orders with search, filter, sorting and adjustable columns.
Own order statuses can be created in the configuration and assigned to the order state.
Comments can be added to an order, optionally with a notification to the customer.
From the order you can create invoice, shipment and credit memo.
Orders can be entered in the admin for a customer, for example for phone orders.
Some actions, for example changing the status or printing, are available for several orders.
These functions are enough for many shops. What is missing is usually responsibility, structured internal notes and processes tailored to your way of working. Which functions your version offers we record in the inventory.
Which building blocks make sense depends on your process. Typical are these.
Statuses that map your steps, with rules on which transitions are allowed.
Assign orders to an employee, with a "my orders" view and a substitute rule.
Notes with author and time, separate from customer comments, plus follow-up.
Check, approve, print or hand over many orders at once to shipping.
Documents for warehouse and shipping in your house layout, also as bulk print.
A dashboard with open, overdue and waiting orders.
The table shows what exists in the standard and what we typically add.
| Area | In the standard | With extension |
|---|---|---|
| Statuses | Own statuses configurable | Flows with allowed transitions |
| Responsibility | Not available | Assignment, substitute, own view |
| Notes | Comments on the order | Internal notes with author and follow-up |
| Mass actions | Individual actions | Check, approve, print, hand over |
| Delivery note | Simple print | Own template and picking list |
| Overview | Order list | Dashboard for open and overdue orders |
Depending on version and installed extensions the standard can differ. We check that in advance and build only what is really missing.
A typical process begins with the receipt of the order. The order appears in the list with the status "new". An employee checks payment and address and sets the status onward. Then goods are prepared, possibly reordered, and the order receives a delivery note. After shipping the invoice follows, unless it was created before.
At every step the admin shows who is responsible and what comes next. Queries are recorded as an internal note and stay on the order even if the employee changes. If an order waits for a reply from the customer, it appears with a follow-up in the overview so that nothing is forgotten.
With returns and complaints the path runs backwards: the order gets a remark, the credit memo is created and the stock is adjusted. Magento order management holds these steps together so that customer service, warehouse and accounting see the same information.
The customer also benefits from the orderly process. Status messages to the customer can be tied to certain steps, for example "in progress", "ready to ship" or "shipped", with their own text and an optional tracking number. Queries on the phone are answered by your team with a look at the order instead of searching emails and lists. That saves time and looks professional.
For planning, the overview shows how many orders stand at which step. If orders pile up in "waiting for goods", purchasing knows that supply is missing. If they pile up in "check payment", the bottleneck lies in accounting. Magento order management makes bottlenecks visible before customers ask.
The standard is enough if one or two people know all orders, the process is short and few queries arise. Then own statuses and good comments are often enough.
An extension pays off if several employees process orders, responsibilities must be clear, queries are frequent or orders arise outside the shop. Then the extension replaces table and slips of paper and prevents orders from being left lying.
If an ERP or a fulfillment provider takes over the orders anyway, the integration is the better way. See fulfillment and the page on the Magento connector.
We build extensions as own modules according to the standards of Magento, without interventions in the core. Lists in the admin arise as overviews with filters, sorting and export, forms for editing as forms with checks, and you define settings yourself in the admin without every change needing a development. That keeps the shop update-capable and lets other developers join in later.
Every function gets permissions. In the admin roles can be created with exactly the rights a task needs so that, for example, sales may edit quotes but not change prices. In addition it can be recorded who changed what and when if your process demands it.
In doing so we use what Magento already can instead of rebuilding it: orders, invoices, customer accounts, price rules and inventory management belong to the standard and remain the basis. Our extensions build on it and supplement what your process additionally needs.
With Magento order management we care about speed in daily work. Whoever processes a hundred orders a day needs short paths: keyboard-friendly forms, bulk actions and filters that can be saved. Magento order management should take work off and not create new clicks.
Changes to orders are logged. Who set which status when, who wrote a note, who changed the responsibility? This log helps with queries from the customer and with internal clarification.
Describe how an order runs at your place from receipt to shipping. We reply within 24 hours with a first assessment.
Send inquiryWe often see these points with orders.
Nobody knows the difference between two statuses any more.
Orders lie because nobody feels responsible.
Important agreements are in emails instead of on the order.
Orders jump arbitrarily, and evaluations become unreliable.
Orders are maintained in the admin and in a table.
Stock is not adjusted with the order.
A few clearly named statuses, a fixed responsibility and notes on the order solve most of these problems. We develop the statuses with you on the basis of real orders. With Magento order management it has proven useful to begin with five to seven statuses and to add more only if a step really needs its own responsibility or evaluation in daily work. Every status gets a short description so that new employees use it correctly. We also define from the start who may close an order so that evaluations stay reliable later. Good Magento order management stays simple.
We keep the start deliberately short so that you quickly see whether and how your process can be mapped in the admin.
We record how you work today: who processes what, which lists and tables exist besides the shop and what is to be replaced in the admin.
We sketch the extension in the admin, show you forms and lists and clarify rights and special cases before anything is built.
The functions arise as modules according to Magento standards, one by one and with a log, without interventions in the core.
You work with test data and real examples, then we start step by step and accompany the first weeks.
With Magento order management we begin with the statuses and views because they bring the greatest benefit. Assignment, notes and bulk actions follow in stages. This way your team gets used to the new process without operations stalling.
The following examples are constellations from practice, not statements about particular customers. In the first case three people process the orders of a merchant and coordinate by email. With assignment and internal notes everyone sees what the other is processing, and the coordination emails are no longer needed.
In the second case a manufacturer takes orders by phone and files them in a table. We manage them as orders in the admin, with customer account, conditions and invoice, so that nothing is entered twice.
In the third case many orders are approved and printed at once every day. With bulk actions and a picking list that takes minutes instead of hours.
Whoever wants to introduce Magento order management asks about the effort first. We estimate Magento order management after an inventory, at 30 euros net per hour, and you see beforehand which part brings the greatest benefit. Magento order management can be built in stages, and Magento order management is also possible for B2B businesses. Whether Magento order management in the admin or an external system fits better is decided in the end by your process, not by our preference.
After the start we accompany the first weeks and adjust statuses, filters and templates where daily work shows something that was not visible in planning. Magento order management thus grows with your business instead of having to solve everything from the start.
In the admin several people work with business data, so clear rules apply. Every person gets a role with exactly the rights they need, access belongs to personal accounts, and the login to the admin can be secured with a second step. Credentials do not lie in the source code but in the protected configuration.
When testing we work with test data or anonymized data as far as possible. As soon as developers get access to personal data, for example customer accounts or orders, an agreement on commissioned data processing is needed. We clarify that before the start so that you are legally well set up. These notes are not legal advice, the concrete arrangement depends on your company.
An extension in the admin is not a one-off project but belongs to ongoing operation. Magento updates, new requirements and changed processes demand care. Therefore the planning includes an agreement on how updates are tested and who approves them. Ongoing care can be regulated through a maintenance contract that covers updates, monitoring and error fixing.
Documentation is part of the delivery. You receive a description of the functions, the roles and the settings so that your team or another provider understands the extension and can continue it. Source code and access stay with you, and backups belong to every operation.
A flat figure for Magento order management would be unreliable because the effort depends on your processes. It is determined by the number of functions, the number of special cases, the roles and rights and the reports you need. Much of it already exists as a building block for customers that we adapt to your processes, and that lowers the effort compared with a new development.
We work with an open hourly rate of 30 euros net, without emergency surcharge. After the inventory you receive a written estimate that lists the functions individually so that you can control scope and order yourself. All prices are on the page pricing.
Besides the development, include the running items: hosting, maintenance and, where applicable, licenses. We show these items separately in the estimate so that you can compare the solution with an external ERP over several years, including its licenses and the connection.
An honest offer includes naming the limits. We do not sell a ready-made ERP made of Magento but extend the admin according to your processes. For the areas named here there are extensions that we have already implemented for customers and adapt to your processes on request. They are not off-the-shelf products with a list price but building blocks that we tailor with you.
Magento does not replace a full ERP with financial accounting, payroll or production. We tell you openly when an external system makes more sense, and then connect it, see the page on the Magento connector. We name customers only with their consent, and in the first conversation we gladly talk about comparable constellations.
For invoices and other documents tax requirements apply, for example for numbers and immutability. We give no legal advice but implement the rules agreed with your tax adviser technically. We are a web agency in which fixed freelancers work together, all from home offices, and tell you early whether and when we have capacity.
With extended Magento order management you see what is to be done and who does it. A first conversation costs nothing and commits you to nothing.
Request the admin extensionYes. In the standard statuses can be created; with an extension we add flows that define which transitions are allowed.
With an extension yes, including a view for your own orders and a substitute rule.
Yes. Orders can be created in the admin, and we link them with customer account, conditions and invoice.
Yes, as a template in your house layout, also as bulk print for many orders.
No. For small companies with simple processes Magento is often enough, a full ERP with financial accounting, payroll or production it does not replace. We tell you openly when an external system makes more sense.
No. We have building blocks from customer projects that we adapt to your processes on request, and we do not sell packages with a list price.
That depends on functions, special cases and roles. We estimate in writing after an inventory, the hourly rate is 30 euros net.
That can be regulated by a maintenance contract. Without care extensions can fail on Magento updates.
With a short message through the contact form. Describe how you work today and what is to become better in the admin. We reply within 24 hours on working days.
