Fulfillment means that a service provider takes over storage, picking, packing and shipping for you. That relieves your own business but requires that shop and provider exchange data reliably: orders there, stock and shipping confirmations back. On this page we describe how we implement Magento fulfillment, which ways exist and where the pitfalls lie.

An overview of the ways (API, middleware, file exchange, ready-made module) is given by the guide to ERP integration. For the connection to individual parcel services read the page on the integration of shipping carriers, for the costs the page on shipping cost logic, for all further systems the overview of connectors. The guide outsource fulfillment helps with the decision.

01

Fulfillment at a glance: what a logistics partner takes over and what that means for the shop

With fulfillment your goods lie in the warehouse of a logistics provider. The provider receives goods, stores them, picks orders, packs, hands over to a parcel service and processes returns. For you as a merchant that means: less own warehouse space, less staff in shipping and often faster delivery, but in return an additional partner you have to rely on.

For Magento fulfillment that means that the shop no longer knows by itself what happens in the warehouse. It passes orders on to the partner and learns from there whether it was shipped, with which tracking number and how high the stock is. This exchange is the heart of the integration, and its quality determines whether customers see correct availability and are informed in time.

The interfaces differ per provider. Some offer a programming interface, others work with files that are stored on a server, again others with data formats for electronic business exchange. Magento fulfillment therefore begins with the question which partner you have or plan and which ways it offers.

The division of labor is also important: who maintains the article data, who announces goods receipts and who decides in case of deviations? We set up the integration as your processes are instead of adapting your processes to the interface of the partner.

02

What Magento fulfillment synchronizes between shop and partner

Which data flows in Magento fulfillment you define with us in the inventory. Typically there are five areas.

Article master

The partner needs article number, designation, weight, dimensions and usually a barcode number to receive and pick goods.

Goods receipts

When you deliver goods to the partner, you announce them, and the partner reports back what has arrived. From this the stock arises.

Orders

Every order goes to the partner with recipient, items, shipping method and, where applicable, customs details. An order is transferred only once, even if the connection is interrupted.

Stock and shipping confirmation

The partner reports stock and confirms shipping with a tracking number that is written into the shipment in the shop.

Returns

Returns are announced and checked by the partner, and the result leads to restocking or a credit note.

Not every Magento fulfillment project needs all five areas. Often it begins with orders and shipping confirmations and later grows by stock and returns. This way you see results quickly and can use the budget in stages.

03

The data flows of Magento fulfillment at a glance

The table shows a typical pattern. In your business it may differ, and that is exactly what we clarify in the inventory.

DataLeading systemDirectionTypical rhythm
Article masterShop or merchandise managementto the partneron creation and change
Goods receipt noticeShop or merchandise managementto the partnerper delivery
OrdersShopto the partnerimmediately or at short intervals
StockPartnerto the shopoften, depending on need
Shipping confirmation and tracking numberPartnerto the shopon shipping
Return noticePartnerto the shopon receipt of the return

With Magento fulfillment a clear rule on data ownership prevents most disputes. The stock lies with the partner and leads for the shop, orders arise in the shop. We also define what applies in case of deviations, for example if the partner finds less goods than the shop has sold, and who then decides.

04

The interfaces of fulfillment partners: what is common and what we clarify

For Magento fulfillment there is no uniform standard. Logistics providers offer, depending on the provider, programming interfaces, the exchange of files on a server or data formats for electronic business exchange. Some providers work with a portal of their own into which orders are uploaded and offer an interface only for additional costs.

We therefore do not work on assumptions. Before the quote we clarify with you and the partner which ways your contract allows, in which format the data should arrive, how often it flows and which test environment exists. That is an honest part of our approach: we tell you openly if a partner sets limits or causes additional costs.

The rhythm is especially important. Orders should arrive at the partner quickly so that cut-off times are met, and stock should come back often enough so that the shop does not sell what is no longer there. Both together determine how elaborate the integration becomes.

05

Ready-made module, middleware or individual development for Magento fulfillment

Some logistics partners offer ready-made modules for common shop systems, and there are services that bundle several partners. Whether an existing way fits your partner and Magento we check honestly before a decision. If it covers your requirements, it is often the more economical choice, and we will tell you so. With every module ask how it is maintained and what happens on updates of Magento.

An individual development for Magento fulfillment pays off if your processes deviate from the standard: several warehouses, special articles, sets, special packaging requirements or a partner without a ready-made module. It is more expensive at the start but fits exactly. Include the care as well, because an individual development needs someone who looks after it.

If more than two systems are connected, for example shop, merchandise management, fulfillment partner and parcel service, a middleware can make sense. The decision aid is in the guide to ERP integration.

06

The Magento side: how Magento fulfillment is implemented in the shop

On the Magento side we build the integration as its own module according to the standards of the system, without interventions in the core. The module uses the interfaces and queues of Magento so that transfers run in the background and the shop does not become slower for visitors. Orders are placed in a queue on arrival and processed there until the ERP has confirmed them.

Magento maps stock, shipments and returns with its own functions, and these are exactly the data we exchange with the fulfillment partner. Where possible we use the standard functions of Magento, for example inventory management, instead of inventing our own tables. That keeps the shop update-capable and lets other developers join in later.

In the admin you see what was transferred: a log shows date, record and result, with a filter for errors. For the peculiarities of the fulfillment partner we add settings in the admin, for example assignments of payment methods, shipping methods and tax classes, so that changes need no development.

With fulfillment the stock lies outside your house. Magento fulfillment therefore keeps it as its own warehouse or inventory source so that the shop calculates availability by the stock of the partner and orders are accepted only where goods lie.

07

Typical pitfalls with Magento fulfillment

We see these points again and again in projects. They can be planned if they are known early.

  • Stock deviations

The stock at the partner and in the shop differs, and overselling or orders that cannot be delivered occur.

  • Missing article data

Weight, dimensions or barcodes are missing, and the partner cannot receive goods.

  • Partial deliveries

An order goes in several parcels, and tracking numbers are mixed up.

  • Returns

The returned item is not reported back, and credit notes or restocking are left lying.

  • Cut-off times

Orders arrive at the partner too late and leave only the next day.

  • Missing monitoring

A failed transfer is noticed only when customers ask.

An integration for Magento fulfillment should also withstand short outages: orders are buffered and caught up later instead of being lost, and the log shows which order arrived at the partner when. That increases reliability in daily work considerably and is standard with us.

Security and data protection with Magento fulfillment

An integration connects two systems with business data, so clear rules apply. The exchange runs encrypted, credentials do not lie in the source code but in the protected configuration, and the integration receives only the rights it needs. Access belongs to a separate service account, never to a private account of a person.

When testing we work with test data or anonymized data as far as possible. As soon as developers get access to personal data, for example customer accounts or orders from the shop and the fulfillment partner, an agreement on commissioned data processing is needed. We clarify that before the start so that you are legally well set up.

The log of the integration contains what is necessary for operation but no credentials and no unnecessary personal data. Retention periods are defined with you. These notes are not legal advice, the concrete arrangement depends on your company.

09

How a project for Magento fulfillment runs

We keep the start deliberately short so that you quickly know whether and how the integration is feasible.

01

Inventory

We clarify version, operation, access and contacts at your fulfillment partner, the desired data flows and the special cases. The result is a short concept.

02

Test environment

We work against a test system of the fulfillment partner and a Magento development state, never first against live data.

03

Implementation

The data flows are built one by one, with a log, repetition on errors and clear rules for conflicts.

04

Test and start

You check with real examples, then we start step by step and look at the log together in the first weeks.

Also with Magento fulfillment you stay informed between the steps: you receive a short status of what is done, what comes next and where we need your decision or that of your partner. We record decisions in writing so that it stays traceable later why something was built this way.

10

Three typical constellations (examples, not customer references)

The following constellations are examples from the practice of Magento fulfillment projects, not statements about particular customers. The first is a merchant who has so far shipped by himself and in future outsources to a logistics partner. Here the switch is the main task: provide article data, take over stock and define the moment from which orders go to the partner.

The second constellation is a merchant with an own warehouse and a partner for certain articles or countries. The shop then has to know per article from which warehouse it delivers and distribute orders correctly. We map that with several stocks in the shop.

The third constellation is a business with a high share of returns. Here the feedback of the partner decides how fast goods can be sold again and money refunded. We build the return notice so that it triggers restocking or a credit note without anyone having to compare lists.

In all three cases a small trial pays off: before the integration runs productively, test orders are handed over to the partner, including an order with several items, a partial delivery and a return. Your team and the partner check the result, and only then does operation start. This way errors show up early and cost little.

11

Operation, monitoring and care of Magento fulfillment after the start

An interface is not a one-off project but ongoing operation. After the start a log monitors every transfer: what was transferred when, what failed, what is repeated? Errors that cannot be fixed automatically are reported visibly so that nobody learns of them only through a customer complaint.

Updates change the situation. A Magento update, a new state at your fulfillment partner or a change of the vendor interface can affect the integration. Therefore the planning includes an agreement on how updates are tested and who approves them. Ongoing care can be regulated through a maintenance contract that covers monitoring, updates and error fixing.

Documentation is part of the delivery. You receive a description of the data flows, the assignments and the rules for special cases so that your team or another provider understands the integration and can continue it. Source code and access stay with you.

12

Effort and price of Magento fulfillment: how we calculate

A flat figure for Magento fulfillment would be unreliable because the effort depends on your constellation. It is determined by the number of data flows, the quality of the data in the systems of the fulfillment partner, the number of special cases with partial deliveries, returns and special articles and the required timeliness. A data flow in one direction is built much faster than a synchronization in both directions with conflict rules.

We work with an open hourly rate of 30 euros net, without emergency surcharge. After the inventory you receive a written estimate that lists the data flows individually so that you can control scope and order yourself. For clearly defined packages a fixed price is also possible. All prices are on the page pricing.

Besides the development, include the running items: hosting, maintenance and, where applicable, licenses or fees for the fulfillment partner and for additional services. We show these items separately in the estimate so that you can compare quotes over several years.

13

What you do not get from us and how references stand

An honest offer includes naming the limits. We do not sell a ready-made connector off the shelf but develop Magento fulfillment project by project according to your processes. That means: we implement exactly what you need, but not in a day and not for a flat price that cannot be calculated beforehand.

We are a web agency in which fixed freelancers work together, all from home offices. We are not a large agency with a hundred employees and cannot take on every project at every time. We tell you early whether and when we have capacity. We name customers only with their consent, and in the first conversation we gladly talk about comparable constellations.

We give no legal advice. Questions about commissioned data processing, data protection and the license terms of the fulfillment partner you clarify with your legal adviser and the vendor. What is technically possible depends on version, operation and license of your system and is checked in the inventory.

Let us connect shop and fulfillment partner

With a clean Magento fulfillment integration orders go to the partner without manual work, and stock and shipping confirmations come back automatically. You do not have to decide anything today: a first conversation clarifies what is feasible and costs nothing.

Frequently asked questions about Magento fulfillment

Which fulfillment partners do you connect?

That depends on the partner and its interfaces. Before the quote we check which ways your contract allows and connect partners with programming interface, file exchange or electronic data formats.

How is the stock at the partner shown in the shop?

The partner reports the stock in an agreed rhythm, and the shop calculates availability from it. We define with you how often that is needed.

What happens with a partial delivery?

The integration assigns every tracking number to the right partial delivery so that customers receive correct information.

Can I change the partner later?

Yes, if the integration is cleanly separated. Then only the connection to the new partner is rebuilt, and the shop stays untouched.

Do you develop a ready-made connector for purchase?

No. We develop the integration project by project according to your processes. That means a better fit but also an estimate instead of a list price.

What does Magento fulfillment cost?

That depends on data flows, special cases and the quality of the data in the systems of the fulfillment partner. We estimate in writing after an inventory, the hourly rate is 30 euros net.

Who maintains Magento fulfillment after the start?

That can be regulated by a maintenance contract. Without care an interface can fail on updates. More on the page on maintenance packages.

Do you need access to our system?

We need access to a test system of the fulfillment partner and to the interfaces. You define the permissions with your IT department, and we touch productive data only after approval.

How do we start?

With a short message through the contact form. Please name your system, the version and the desired data flows. We reply within 24 hours on working days.
