Import, Export & Feeds

Running a shop means moving data all the time: categories, customers, newsletter lists, coupons, attributes and reviews. With Magento 2 Import Export Extensions you do this via CSV instead of click by click in the admin, with checks before anything is written and exports as a safety copy. Product feeds for Google and Facebook complete the range. Below you find nine modules that Mironsoft sets up personally in your shop.

Why do you need Magento 2 Import Export Extensions in daily work?

A shop consists of data, and that data changes constantly. For many data types, Magento offers only the admin interface by default: open, change, save, open the next record. With ten entries that is fine, with two hundred categories or twelve thousand newsletter addresses it is not. That is what Magento 2 Import Export Extensions are for: you move the work into a spreadsheet that you edit calmly, check and load in one run.

The gain from Magento 2 Import Export Extensions is not only speed. A spreadsheet can be proofread by a colleague, stored in versions and compared with data from purchasing or marketing. An export before a change is also a backup you can fall back on if something goes wrong. A one-off chore becomes a routine you can repeat.

This page presents nine modules from the Import, Export and Feeds category. They cover categories, CMS blocks, customer accounts, newsletter subscribers, coupon codes, product attributes and reviews, plus two product feeds. The following chapters explain how to run imports safely and which errors occur most often.

The same model applies to all modules: you do not receive a download file to install yourself. The purchase is an engagement. Mironsoft installs the module in your shop and sets it up personally. The offer is aimed at business owners, payment is by invoice or prepayment. How prices relate to maintenance and custom development is explained on the pricing page.

Why do CSV imports fail so often, even with Magento 2 Import Export Extensions?

Most import problems have nothing to do with the shop, they come from the file. Even the best Magento 2 Import Export Extensions can only process what is in the file. It pays to know the typical sources of error before you upload the first file.

Encoding: A CSV file should be saved as UTF-8. If it is stored in another character set, umlauts and accents suddenly turn into odd symbols and a name like "Müller" becomes unreadable. Depending on its settings, Excel writes other encodings than expected, so open the file briefly in a text editor after saving.

Delimiters and decimals: German Excel versions separate columns with a semicolon, internationally it is the comma. Prices with a comma as decimal sign can break a comma-separated format. A configurable delimiter, as the product attribute module offers, saves detours here.

Duplicates: The same email address twice, the same URL key in two categories, the same identifier for two CMS blocks. Magento requires unique values in many places, and an importer that does not check this beforehand either aborts or silently overwrites the wrong record.

Store views: If you run several languages, each record has a global default value and overrides per store view. If the file contains only one row, the text ends up in the wrong language or overwrites all languages at once. For multilingual shops the store view column belongs in every import file.

Leading zeros and special characters: A postcode such as 01067 quickly turns into 1067 in spreadsheet programs, and line breaks in text fields can split one row into two. A look at the raw file prevents such surprises.

How do Magento 2 Import Export Extensions validate before writing?

All import modules in this category follow the same principle: check first, then write. The feature lists show what each module checks:

  • Uniqueness

Duplicate URL keys for categories, duplicate identifiers for CMS blocks, duplicate email addresses for customers and newsletter, duplicate coupon codes.

  • Required fields

If a name or a last name is missing, the row is reported before anything reaches the database.

  • Format

The newsletter module detects invalid email addresses. The reviews module reports when the CSV format does not fit.

  • Error report with row number

You see which row is flagged and why, and can correct it directly instead of searching the whole file.

  • Preview and confirmation

With the category module the import can only be executed after confirmation, with the CMS block module you see the changes in advance.

  • Error threshold

The attribute module stops at a configurable number of errors and skips faulty rows until then.

The difference between aborting and skipping matters for large files, and Magento 2 Import Export Extensions handle it differently. The newsletter module reports invalid rows and imports the rest, while other modules stop on hard violations. Which behavior suits your data is something we clarify during setup.

How do you run an import with Magento 2 Import Export Extensions safely?

A proven routine has six steps, whether it is about categories, customers or coupons:

01

Export the current state

Export the current data first. This file is your backup and also the best template, because it already has the right columns.

02

Work from the template

Several modules provide a sample template for download. Use it instead of your own column names.

03

Check the file

Save as UTF-8, verify the delimiter and open the raw file briefly in a text editor.

04

Test with a few rows

Load ten rows first, ideally on a development or staging shop, and check the result in the admin and the frontend.

05

Read the validation

Go through the error report line by line. Stopping because of single errors is better than a half-correct import.

06

Spot check afterwards

Check a few records in every language and, for categories, also the page URLs.

Even with Magento 2 Import Export Extensions, a database backup is also advisable for larger catalog changes. It does not replace checking, but it protects you from the case no validation can foresee. If you want to secure the whole operation, maintenance and support offers a solution.

Which data do Magento 2 Import Export Extensions maintain every day?

Each module looks after exactly one type of data. This keeps operation simple and the validation rules fitting:

Categories

The whole tree with name, description, URL key, status, meta data, display mode and layout. Images come via server path or URL.

CMS blocks

Title, identifier, content, store assignment and status as a bulk import, no FTP, everything in the admin panel.

Customer accounts

Name, email, customer group, status and billing and shipping address in one file.

Newsletter subscribers

All four statuses supported, with store view assignment and comparison with existing customer accounts.

Coupon codes

Import existing lists or generate codes from a pattern, with limits per code and per customer.

Product attributes

Attribute sets, attribute codes and option values, add, update or replace as needed.

Reviews are covered by Mironsoft Reviews Import Export, which assigns star rating, title and text to the right product by SKU. If you would rather look first at what your data contains, the categories Customers and Account and Catalog and Navigation are a good start.

When do Magento 2 Import Export Extensions help with customers, newsletter and coupons?

For customer data, duplicate detection by email address is the most important protection: an account created twice means two order histories and two passwords. Mironsoft Customer Import Export puts billing and shipping address and the customer group into the same CSV. For B2B shops this matters, because the customer group often decides prices and terms. More on this in the category Customers and Account and on the Magento B2B page.

For the newsletter, clean lists are the point. Mironsoft Newsletter Import Export distinguishes the statuses subscribed, unsubscribed, not activated and unconfirmed, checks addresses for valid format and assigns each file to a store view. This keeps sending separable per language. An importer that does not map unsubscribes would be a risk, so always carry the status along. The tools for the sending itself are in Marketing and Promotions.

With coupons everyone knows the problem: a partner campaign needs 5,000 individual codes, and Magento does not generate them in the desired format. Mironsoft Import Coupon Codes imports existing lists or generates codes from a pattern where L stands for a letter and D for a digit, for example LLLDDDD. The codes land in an existing cart price rule, and limits per code and per customer prevent repeated use. A usage statistic in the admin grid later shows which codes were redeemed, and export is available as CSV or XML.

How do Magento 2 Import Export Extensions support migration and backup?

A shop migration is above all a data project. Products and customers are usually the focus, but many owners forget that reviews, CMS content and coupons are part of the shop's value too. Mironsoft Reviews Import Export imports existing reviews including star rating, title, text and nickname and assigns them to the right product by SKU. Existing entries are not created twice. The new shop does not start from zero although real customer opinions already exist.

The same applies to the way between environments. If you revised CMS blocks in a development environment, Mironsoft CMS Block Import Export lets you export them as CSV and import them into the live shop without transferring each block individually. The store assignment is kept, and the identifier check prevents collisions. The same principle applies to categories with Mironsoft Category Import Export, whose export also serves as a backup.

The export has a second job: it secures the state before a change. The reviews module explicitly recommends the export as a backup before larger catalog changes, optionally without customer data. For the migration itself, that is the move from another platform or from Magento 1, there is a dedicated service: Magento migration. It covers the whole project, while the modules here solve single data types.

What role do product feeds for Google and Facebook play in Magento 2 Import Export Extensions?

An import brings data into the shop, a feed takes it out. Price comparison portals, Google Shopping and Facebook expect a file in which every product has a title, price, image, availability and category. If you maintain this file by hand, you will always lag behind price changes. That is why product feeds belong to Magento 2 Import Export Extensions, even though they run in the other direction.

Mironsoft Product Feed serves several portals from one module. It offers category mapping to the Google taxonomy and for the Facebook catalog, unlimited feed profiles, predefined channel templates and a free attribute editor for custom mapping. Rule-based filters automatically exclude unprofitable, seasonal or sold-out products. Besides CSV there is XML, the scheduled cron export keeps the feed current, and separate feeds can be created per store view. According to the product page it can be extended to further portals such as Idealo, Geizhals or Amazon.

If you only serve Facebook and Instagram, Mironsoft Facebook Product Feed is the cheaper route. The module maps the Facebook catalog for Dynamic Ads and the Facebook Store, adds Instagram Shopping tags and checks the feed for completeness before every export. A performance analysis shows how the feed is exported and processed. Which way suits you depends on how many channels you serve today and in a year. The connection with ads and tracking is covered by the category Tracking and Social.

Personal data in Magento 2 Import Export Extensions: a note

Note, not legal advice

Customer accounts, newsletter addresses and reviews with nickname and email are personal data. A CSV file with such content is therefore not an ordinary working document. Store it only where you know who has access, and delete copies once the purpose is fulfilled. The customer module describes its handling as GDPR-aware, and the reviews export can be run without customer data. Whether and how you may transfer data is something to clarify with your legal adviser if in doubt. Practical building blocks for your shop are in the category Legal.

How do Magento 2 Import Export Extensions fit with ERP, PIM and your shop?

Not every data task should run by hand via CSV. If articles, prices and stock come from an ERP, a running interface makes more sense than recurring files. See the ERP interface page, and for maintained product data the PIM integration page. Magento 2 Import Export Extensions fill the gap in between: data types an ERP does not know, such as newsletter lists, CMS blocks, coupons or reviews, and tasks that only occur now and then.

If you also want to improve visibility, combine the imports with measures from the category SEO and Content. For categories in particular, URL key and meta data are directly tied to findability. If you move a lot of data, mind the load as well: large runs belong in quiet hours, and a look at Performance and Security is worthwhile. For staff who start such imports, permissions matter, so see Admin and Backend.

What the modules do not replace is a data strategy. You decide which source is authoritative, who approves files and how often to synchronize. If you need a function that no module contains, we develop it as part of extension development.
