With Multi-Source Inventory (MSI) Magento brings a basis for several warehouses. We add goods receipt, stocktaking, minimum stock and movement history to the admin, project by project and according to your warehouse process.
Whoever sells physical goods needs reliable stock. Magento manages stock per product and, with MSI, per source and stock group. What is often missing in daily work are the processes around it: booking goods receipt, doing stocktaking, transferring between locations, monitoring minimum stock and tracing why a number changed.
This page shows what Magento inventory management with MSI can do in the standard, what we add and how we keep movements traceable. It belongs to our offer Magento as ERP. Closely related are order management and the integration of warehouse or fulfillment systems, see fulfillment. A detailed introduction is offered by the guide Inventory management in Magento: several warehouses with MSI.
In daily work an inventory management answers three questions: what is in stock where, how much of it is salable and why did the stock change? Extending Magento inventory management means making these questions reliably answerable in the admin without a second table or warehouse program next to it.
Typical requirements are a goods receipt with delivery note and quantity, a stocktaking with count list and difference posting, minimum stock with warning, transfers between warehouses and a movement history per item. For merchants with several locations it is added from which warehouse an order is served.
For B2B businesses inventory management is often the area that costs the most manual work because orders from suppliers, receipts and returns interact. Here a simple, traceable process in the admin pays off especially.
Magento inventory management is not a full merchandise management system with batch tracking, bin locations or scanners. For simple to medium warehouses it is enough, and we say openly if your warehouse demands more and an external system fits better.
MSI is included in Magento and a good basis. We first check how far it carries for you.
Physical locations are managed as sources, with address and own stock per product.
Sources are combined into groups that are assigned to a sales channel. The salable quantity results from this.
For a shipment an algorithm decides from which source the goods come, by default by priority.
Orders reserve stock before the shipment happens so that the salable quantity is right.
Quantities per source can be maintained on the product and imported and exported by file.
A threshold can be configured below which Magento points it out in the admin.
MSI maps stock and its assignment. What does not belong to it are goods receipt and stocktaking documents, transfers between sources as a process and a movement history with document. This is exactly where our extensions come in. We record the details of your version in the inventory.
Which building blocks make sense depends on your warehouse. Typical are these.
Book receipts with supplier, delivery note, quantity and target warehouse, optionally against an order.
Count list per warehouse, entry of counted quantities and difference posting with document.
Move goods from one source to another, with document and confirmation on receipt.
Warning lists, suggestions for reorders and hints when goods become scarce.
Trace per item when the stock changed and why.
Stock value, slow movers and range as lists with export.
The table shows what exists with MSI and what we typically add.
| Area | In the standard with MSI | With extension |
|---|---|---|
| Several warehouses | Sources and stocks | As standard |
| Source choice on shipment | Algorithm by priority | Additional rules as needed |
| Goods receipt | Change quantity on the product | Document with supplier and reference |
| Stocktaking | Not as a process | Count list and difference posting |
| Transfer | Not as a process | Document and confirmation |
| History | Not as a document | Movements per item |
Depending on version and installed extensions the standard can differ. We check that in advance and build only what is missing.
The core of a reliable inventory management is that every stock change has a reason and a document. Whoever simply overwrites a number in the admin loses the trail. Therefore we book changes as processes: goods receipt, stocktaking difference, transfer, correction. Every process has date, author, quantity and reference.
With goods receipt the employee chooses supplier and warehouse, enters the quantities according to the delivery note and books. Optionally the system compares with the order at the supplier and shows deviations. With stocktaking a count list is generated, counted, entered and the difference booked, with a reason for conspicuous deviations.
With transfers the goods are booked out at the sending warehouse and booked in at the receiving warehouse only after confirmation. While they are on the way they stay visible but not salable. Magento inventory management thus keeps the salable quantity right, even with longer routes.
The movement history turns the documents into a trail per item. Whoever wants to know why a stock deviates sees every booking with document and author. That saves dispute and search time.
Returns deserve a rule of their own. Returned goods are checked and, depending on their condition, booked in again, kept as second-choice goods or booked out. Magento inventory management records this decision as a document so that credit memo, stock and evaluation fit together. Without this rule, stock arises over time that does not exist on the shelf.
Availability displays in the shop depend on it as well. If the stock is reliably right, you can show delivery times honestly, name remaining quantities and hide sold-out products in time. That lowers queries and cancellations and strengthens the trust of your customers. Whoever understands Magento inventory management as part of the whole also gains in sales.
The standard with MSI is enough if you have one warehouse, stock rarely deviates and changes are maintained by one person. Then quantities on the product and occasional import are sufficient.
An extension pays off if several people book, you have several warehouses or locations, a stocktaking takes place regularly or you must prove why stock changes. Then it replaces tables and creates traceability.
If a merchandise management system, for example JTL-Wawi or plentyONE, or an external warehouse manages the stock, the integration is the better way. See the page on the Magento connector.
We build extensions as own modules according to the standards of Magento, without interventions in the core. Lists in the admin arise as overviews with filters, sorting and export, forms for editing as forms with checks, and you define settings yourself in the admin without every change needing a development. That keeps the shop update-capable and lets other developers join in later.
Every function gets permissions. In the admin roles can be created with exactly the rights a task needs so that, for example, sales may edit quotes but not change prices. In addition it can be recorded who changed what and when if your process demands it.
In doing so we use what Magento already can instead of rebuilding it: orders, invoices, customer accounts, price rules and inventory management belong to the standard and remain the basis. Our extensions build on it and supplement what your process additionally needs.
With Magento inventory management we pay attention to the order at the start. First the opening stock is recorded cleanly, ideally by a stocktaking, before goods receipts and transfers are booked in the system. A wrong opening stock otherwise runs through all following bookings.
Magento inventory management can also be operated with scanners or mobile devices if the process demands it. In the concept we clarify whether entry on the computer is enough or whether a simple form for the smartphone makes sense.

Send inquiryWe often see these points with stock.
The stock at the start is wrong, and all following bookings are wrong.
Quantities are changed on the product without a reason being recorded.
Stock is maintained in the shop and in another system and deviates.
Open orders block stock that was long delivered.
Orders are served from the wrong warehouse because priorities are not maintained.
Returned goods are booked in wrongly or not at all.
A clean opening stock, bookings with document and a clear rule for returns solve most of these problems. Before the start we test the way of an order to the stock booking in every warehouse.
We keep the start deliberately short so that you quickly see whether and how your process can be mapped in the admin.
We record how you work today: who processes what, which lists and tables exist besides the shop and what is to be replaced in the admin.
We sketch the extension in the admin, show you forms and lists and clarify rights and special cases before anything is built.
The functions arise as modules according to Magento standards, one by one and with a log, without interventions in the core.
You work with test data and real examples, then we start step by step and accompany the first weeks.
With Magento inventory management we begin with opening stock, goods receipt and history because they are the basis for everything else. Stocktaking, transfer and replenishment follow in stages and are tested with real examples.
The following examples are constellations from practice, not statements about particular customers. In the first case a merchant keeps stock in a table next to the shop and reconciles weekly. With booked goods receipts and stocktaking in the admin the reconciliation is no longer needed.
In the second case a business has a warehouse at its headquarters and a second one at a partner. With MSI sources and transfer documents it is clear at any time what lies where, and orders are served from the suitable warehouse by priority.
In the third case a manufacturer wants to know early when material becomes scarce. Minimum stock with a warning list and reorder suggestions replace the experience of a single person.
Whoever wants to introduce Magento inventory management asks about the effort first. We estimate Magento inventory management after an inventory, at 30 euros net per hour, and you see beforehand which part brings the greatest benefit. Magento inventory management can be built in stages, and Magento inventory management is also possible for B2B businesses. Whether Magento inventory management in the admin or an external system fits better is decided in the end by your process, not by our preference.
After the start we accompany the first weeks and check samples between shelf and admin until the numbers are reliably right. At the end we count twenty items from different shelves with your team and compare them with the admin. We clarify deviations individually: was it a booking error, a counting error or a missing rule? We record the result in writing before the old table is switched off so that your team trusts Magento inventory management from the first day and special cases do not show up only in operation. Reliable Magento inventory management starts with this check.
In the admin several people work with business data, so clear rules apply. Every person gets a role with exactly the rights they need, access belongs to personal accounts, and the login to the admin can be secured with a second step. Credentials do not lie in the source code but in the protected configuration.
When testing we work with test data or anonymized data as far as possible. As soon as developers get access to personal data, for example customer accounts or orders, an agreement on commissioned data processing is needed. We clarify that before the start so that you are legally well set up. These notes are not legal advice, the concrete arrangement depends on your company.
An extension in the admin is not a one-off project but belongs to ongoing operation. Magento updates, new requirements and changed processes demand care. Therefore the planning includes an agreement on how updates are tested and who approves them. Ongoing care can be regulated through a maintenance contract that covers updates, monitoring and error fixing.
Documentation is part of the delivery. You receive a description of the functions, the roles and the settings so that your team or another provider understands the extension and can continue it. Source code and access stay with you, and backups belong to every operation.
A flat figure for Magento inventory management would be unreliable because the effort depends on your processes. It is determined by the number of functions, the number of special cases, the roles and rights and the reports you need. Much of it already exists as a building block for customers that we adapt to your processes, and that lowers the effort compared with a new development.
We work with an open hourly rate of 30 euros net, without emergency surcharge. After the inventory you receive a written estimate that lists the functions individually so that you can control scope and order yourself. All prices are on the page pricing.
Besides the development, include the running items: hosting, maintenance and, where applicable, licenses. We show these items separately in the estimate so that you can compare the solution with an external ERP over several years, including its licenses and the connection.
An honest offer includes naming the limits. We do not sell a ready-made ERP made of Magento but extend the admin according to your processes. For the areas named here there are extensions that we have already implemented for customers and adapt to your processes on request. They are not off-the-shelf products with a list price but building blocks that we tailor with you.
Magento does not replace a full ERP with financial accounting, payroll or production. We tell you openly when an external system makes more sense, and then connect it, see the page on the Magento connector. We name customers only with their consent, and in the first conversation we gladly talk about comparable constellations.
For invoices and other documents tax requirements apply, for example for numbers and immutability. We give no legal advice but implement the rules agreed with your tax adviser technically. We are a web agency in which fixed freelancers work together, all from home offices, and tell you early whether and when we have capacity.
With extended Magento inventory management you book receipts and stocktakings directly in the admin. A first conversation costs nothing and commits you to nothing.
Request the admin extensionYes, with Multi-Source Inventory (MSI): sources, stocks and a source selection on shipment.
Not as a process in the standard. We add both as an extension, with documents and history.
A threshold for low stock is possible in the standard. We add warning lists and reorder suggestions.
No. Batches, bin locations and scanners do not belong to it. For simple to medium warehouses it is enough, otherwise we connect a system.
No. For small companies with simple processes Magento is often enough, a full ERP with financial accounting, payroll or production it does not replace. We tell you openly when an external system makes more sense.
No. We have building blocks from customer projects that we adapt to your processes on request, and we do not sell packages with a list price.
That depends on functions, special cases and roles. We estimate in writing after an inventory, the hourly rate is 30 euros net.
That can be regulated by a maintenance contract. Without care extensions can fail on Magento updates.
