Magento creates invoices for orders. We extend the admin so that special cases, manual invoices and payment reminders also run there, project by project and agreed with your tax adviser.
Many smaller companies additionally write invoices in a word processor or invoicing software because the Magento standard does not cover their cases: partial deliveries, services without an order, individual texts, payment reminders. That means double work and sources of error because the same order lives in two places.
This page shows what Magento can do for invoices out of the box, what we add and what to watch for with documents. It belongs to our offer Magento as ERP; closely related are orders and quotes. For accounting you find the integrations under DATEV, Lexware and in the guide Connect a shop to accounting.
An invoice is a document with mandatory details and a consecutive number. Magento creates it for an order, either automatically or in the admin, and can provide it by email or as PDF. Extending Magento invoices means covering the cases the standard does not know and shaping the process so that your team does not have to switch to a second program.
Typical requirements are document templates in your house layout, number ranges by your rules, invoices without an existing order, advance invoices, payment reminders and an archive that keeps documents findable. Which details and deadlines apply legally you clarify with your tax adviser; we implement the requirements technically but do not give tax advice.
With Magento invoices, immutability matters to us: an issued document is not overwritten; corrections are made through a credit memo and a new invoice. That is not only tidy but eases audits.
Magento invoices are no replacement for financial accounting. They deliver the documents your accounting needs and can be handed over there through an integration.
The standard covers the normal case. We first check how far it carries for you.
In the admin an invoice can be created for an order, in full or in part, depending on payment method and configuration.
Documents can go to customers by email, with templates for the text.
Invoices can be printed as PDF. The layout in the standard is simple and is usually adapted.
A credit memo can be created for an invoice, in full or in part.
An overview of all invoices with search and filters.
Tax classes and tax rates are managed in the configuration and applied to the items.
An invoice without an order is unknown to the standard, and the design of the documents and the number ranges are limited too. This is where our extensions come in. Which functions exist in your version we record in the inventory.
Which building blocks make sense depends on your business. Typical are these.
Invoices in your house layout, with logo, footer, bank details and multilingual texts.
Consecutive numbers by your rules, separated by document or invoice type.
Invoices for services or orders that did not come through the shop, linked to the customer account.
List of open items with due date, reminder and dunning levels that you approve.
Find documents in the admin, provide them as bulk export for accounting and store them safely.
Handover of documents to DATEV, Lexware or another program where desired.
The table shows which cases are covered in the standard and where we add.
| Case | In the standard | With extension |
|---|---|---|
| Invoice for an order | Yes | Yes, with own template |
| Invoice without order | No | Manual invoice on the customer |
| Number ranges | Simple | By your rules and document types |
| Payment reminder | No | List of open items, reminder, dunning level |
| Archive | Invoice list | Search, bulk export, retention |
| Handover to accounting | Export by file possible | Integration with DATEV, Lexware and others |
The table is an orientation. Depending on the version and installed extensions the standard can differ, so we check that in advance.
With documents, reliability counts. An invoice number is assigned once and not reused. An issued document is not changed silently but corrected through a credit memo and a new invoice. We implement this in the admin so that the process stays simple for your employees: you choose the invoice, click on credit memo, and the system keeps numbers and reference.
The mandatory details on an invoice, the retention periods and the handling of special cases such as deliveries abroad or the small business scheme you clarify with your tax adviser. We build fields and texts so that these requirements can be represented, and have the template confirmed by your tax adviser before it goes live.
For accounting it is important that documents arrive complete and uniform. Whether by bulk export, by file or by interface: we provide the data as your program expects it. That includes handing over credit memos with reference to the original invoice and keeping payments reconcilable.
Sending the documents is part of the process too. Magento invoices can go to the customer automatically with the shipping confirmation or only after approval by an employee. For customers with their own invoice address or central accounting we store a second recipient. This way the document arrives where it is needed, and queries decrease.
For evaluations, invoices can be filtered by period, customer, document type and status. Open and overdue items are visible at a glance, and an export delivers the list to accounting. Whoever uses Magento invoices this way no longer needs a second table in which amounts are tracked and sees at any time how much money is still outstanding.
The standard is enough if almost all invoices arise from shop orders, the simple layout suffices and accounting receives the documents individually or by export. Then adapting the template and email texts may be enough.
An extension pays off if you need invoices without an order, run payment reminders, have several document types or use a second invoicing software only for that today. Then you save license, double entry and reconciliation work.
If an invoicing software or an ERP already runs well, the integration is often better than a document of its own in the shop. See the page on the Magento connector, especially on Lexware and Sage.
We build extensions as own modules according to the standards of Magento, without interventions in the core. Lists in the admin arise as overviews with filters, sorting and export, forms for editing as forms with checks, and you define settings yourself in the admin without every change needing a development. That keeps the shop update-capable and lets other developers join in later.
Every function gets permissions. In the admin roles can be created with exactly the rights a task needs so that, for example, sales may edit quotes but not change prices. In addition it can be recorded who changed what and when if your process demands it.
In doing so we use what Magento already can instead of rebuilding it: orders, invoices, customer accounts, price rules and inventory management belong to the standard and remain the basis. Our extensions build on it and supplement what your process additionally needs.
With Magento invoices we test with real cases from your daily work: a normal order, a partial delivery, a credit memo, a delivery abroad, a manual invoice. Every case is played through, the PDF checked and the handover to accounting controlled before we go live.
Invoices are sensitive business data. Magento invoices in the admin therefore get their own rights: whoever may see documents need not be allowed to change them, and creating manual invoices can be limited to a few people.
Describe how you write invoices today and where they go. We reply within 24 hours with a first assessment.
Send inquiryWe often see these points with documents.
Documents are deleted or recreated, and the number sequence has gaps.
Invoices are overwritten instead of corrected by credit memo.
The template was not checked by the tax adviser.
Tax classes and country rules are not configured cleanly.
Incoming payments cannot be assigned clearly to an invoice.
Documents lie scattered and cannot be found quickly in an audit.
Agreeing the template with the tax adviser and fixing the numbering logic early prevents most of these problems. We record the decisions in writing. With Magento invoices it also pays off to clarify beforehand with accounting in which format it expects the documents, how credit memos are to be handed over and who decides in case of deviations. This short agreement before the start saves many queries and correction runs later. Good Magento invoices are those that accounting can process without questions.
We keep the start deliberately short so that you quickly see whether and how your process can be mapped in the admin.
We record how you work today: who processes what, which lists and tables exist besides the shop and what is to be replaced in the admin.
We sketch the extension in the admin, show you forms and lists and clarify rights and special cases before anything is built.
The functions arise as modules according to Magento standards, one by one and with a log, without interventions in the core.
You work with test data and real examples, then we start step by step and accompany the first weeks.
With Magento invoices we start with a trial run: a selection of real orders is invoiced in the new process, and your tax adviser sees the documents before the old way is switched off.
After the start we accompany the first weeks. Typical questions arise with special cases, for example invoices in foreign currency, credit memos after month end or customers with a different invoice address. We collect these cases, extend the template and the rules and document them so that Magento invoices run reliably in daily work and your team no longer has to ask how a case is to be handled.
The following examples are constellations from practice, not statements about particular customers. In the first case a merchant writes invoices in a word processor because he also offers services next to the shop. With manual invoices on the customer account the word processor is no longer needed, and all documents lie in one place.
In the second case a manufacturer delivers in parts and issues advance invoices. We map the process with partial invoices on the order so that open amounts are visible at any time.
In the third case B2B customers pay by payment term. A list of open items with reminders that an employee approves replaces the table in which due dates were tracked before.
Whoever wants to introduce Magento invoices asks about the effort first. We estimate Magento invoices after an inventory, at 30 euros net per hour, and you see beforehand which part brings the greatest benefit. Magento invoices can be built in stages, and Magento invoices is also possible for B2B businesses. Whether Magento invoices in the admin or an external system fits better is decided in the end by your process, not by our preference.
In the admin several people work with business data, so clear rules apply. Every person gets a role with exactly the rights they need, access belongs to personal accounts, and the login to the admin can be secured with a second step. Credentials do not lie in the source code but in the protected configuration.
When testing we work with test data or anonymized data as far as possible. As soon as developers get access to personal data, for example customer accounts or orders, an agreement on commissioned data processing is needed. We clarify that before the start so that you are legally well set up. These notes are not legal advice, the concrete arrangement depends on your company.
An extension in the admin is not a one-off project but belongs to ongoing operation. Magento updates, new requirements and changed processes demand care. Therefore the planning includes an agreement on how updates are tested and who approves them. Ongoing care can be regulated through a maintenance contract that covers updates, monitoring and error fixing.
Documentation is part of the delivery. You receive a description of the functions, the roles and the settings so that your team or another provider understands the extension and can continue it. Source code and access stay with you, and backups belong to every operation.
A flat figure for Magento invoices would be unreliable because the effort depends on your processes. It is determined by the number of functions, the number of special cases, the roles and rights and the reports you need. Much of it already exists as a building block for customers that we adapt to your processes, and that lowers the effort compared with a new development.
We work with an open hourly rate of 30 euros net, without emergency surcharge. After the inventory you receive a written estimate that lists the functions individually so that you can control scope and order yourself. All prices are on the page pricing.
Besides the development, include the running items: hosting, maintenance and, where applicable, licenses. We show these items separately in the estimate so that you can compare the solution with an external ERP over several years, including its licenses and the connection.
An honest offer includes naming the limits. We do not sell a ready-made ERP made of Magento but extend the admin according to your processes. For the areas named here there are extensions that we have already implemented for customers and adapt to your processes on request. They are not off-the-shelf products with a list price but building blocks that we tailor with you.
Magento does not replace a full ERP with financial accounting, payroll or production. We tell you openly when an external system makes more sense, and then connect it, see the page on the Magento connector. We name customers only with their consent, and in the first conversation we gladly talk about comparable constellations.
For invoices and other documents tax requirements apply, for example for numbers and immutability. We give no legal advice but implement the rules agreed with your tax adviser technically. We are a web agency in which fixed freelancers work together, all from home offices, and tell you early whether and when we have capacity.
With extended Magento invoices documents arise where the order lies. A first conversation costs nothing and commits you to nothing.
Request the admin extensionNot in the standard. With an extension we create manual invoices on the customer account, with number range and template.
You clarify mandatory details and deadlines with your tax adviser. We implement the requirements technically and do not give tax advice.
With an extension yes: a list of open items shows due dates, and reminders and dunning levels are approved by you.
By bulk export or through an integration, for example to DATEV or Lexware. The pages on the Magento connector describe the ways.
No. For small companies with simple processes Magento is often enough, a full ERP with financial accounting, payroll or production it does not replace. We tell you openly when an external system makes more sense.
No. We have building blocks from customer projects that we adapt to your processes on request, and we do not sell packages with a list price.
That depends on functions, special cases and roles. We estimate in writing after an inventory, the hourly rate is 30 euros net.
That can be regulated by a maintenance contract. Without care extensions can fail on Magento updates.
With a short message through the contact form. Describe how you work today and what is to become better in the admin. We reply within 24 hours on working days.
