Magento customer management: keep customer data, contacts, conditions and history in the admin

Customer data is often scattered: in the shop, in the mailbox, in tables. We extend Magento customer management so that the admin becomes the customer file, project by project and according to your processes.

Magento manages customer accounts with addresses, order history and customer groups. For many companies that is enough to start but not for daily work: contact persons, notes, payment terms, responsibilities and an overview of what has happened with a customer so far are missing. The result is slips of paper, tables and the knowledge of individual employees.

This page shows what Magento customer management can do out of the box, what we add and how we implement it. It belongs to our offer Magento as ERP; related are quotes and price management, which depend on the customer file.

01

What Magento customer management should achieve

In daily work, a customer management answers simple questions quickly: who is this customer, who is the contact, which conditions apply, what has been ordered, what is open and what was discussed last? In the Magento standard there are only partial answers. Extending Magento customer management means making these questions answerable in one place in the admin.

For consumer shops a little is often enough: a few additional fields and a note function. For B2B businesses the file becomes more important because several people per company, own prices, payment terms and credit limits play a role. Here Magento customer management as part of the admin pays off especially because the data flows directly into quotes, orders and invoices.

We build the customer file as an extension on the standard. That means the customer account remains the basis, and everything we add hangs on it. Imports, newsletter integrations and Magento updates therefore stay possible.

Magento customer management is thus no replacement for a large CRM with sales pipeline and marketing automation. It covers what a small company needs every day, and we tell you openly if your need goes beyond it.

02

What Magento customer management can do in the standard

The customer account in the admin contains more than many use. We first check how much of it is already enough.

Customer accounts with addresses

Master data, several addresses for billing and delivery and the option to create or change accounts in the admin.

Customer groups

Assignment to groups through which prices, tax classes and rules are controlled.

Order history per customer

Orders, carts and reviews of a customer can be viewed in the account.

Own customer attributes

Additional fields can be created, for example for customer number or industry, depending on version and configuration.

Login as customer

With a function in the admin support can see what a customer sees, if it is enabled.

Import and export

Customer data can be imported and exported in files, for example for a migration.

These functions are the basis. Which of them are available exactly in your version and configuration we record in the inventory. The functions in the Adobe Commerce environment, for example company accounts, go further than the open source version but are tied to the edition.

03

What we add to customer management

Which building blocks you need depends on your process. Typical extensions are these.

Contact persons per company

Several contact persons with role, phone and email so that it is clear who is responsible for what.

Notes and tasks

Internal notes with date and author as well as follow-ups so that nothing is left behind.

Conditions

Payment terms, discounts, credit limit and delivery conditions per customer, linked to quotes and invoices.

Responsibility

Assignment of a manager from your team and lists by responsibility.

Documents

Store and find contracts, quotes and correspondence on the customer.

Evaluations

Lists with revenue, last order and filters, for example for customers without an order for a year.

04

Magento customer management: standard and extension compared

The table shows what exists in the standard and what we typically add.

AreaIn the standardWith extension
ContactsOne account, addressesSeveral contact persons with role
NotesNo own note function in the customer accountNotes with date, author and follow-up
ConditionsCustomer groupsPayment term, credit limit, discounts per customer
ResponsibilityNot availableManager per customer, filters and lists
DocumentsNot availableStorage on the customer
EvaluationBasic reportsLists by revenue and activity

The assignment shows: the account remains, and the extension turns it into a file. Depending on the version of Magento the standard can differ, so we check that beforehand.

05

Data takeover: how your customer data gets into the new file

A customer file is only as good as its data. Therefore we plan the takeover early. We collect the sources: tables, address books, mailboxes, the previous ERP or CRM. Then we define which information belongs in which field and which data is not taken over because it is outdated or not required.

Before the import we clean the data: merge duplicates, unify spellings, check required details. The import itself first runs with a small selection that you check in the admin. Only when fields, encoding and assignment are right does the whole stock follow. Every run is logged so that errors can be traced.

Care remains important after the start too. We define with you who may change data, how new customers are created and how duplicates are handled. For deletion requests from customers we provide a clear process that you agree with your data protection adviser. This keeps the file current without becoming a burden.

At the end of the takeover we check samples together: we open ten to twenty customers from different groups and compare addresses, contact persons, conditions and orders with the old state. Deviations are corrected before the start. This check takes only a short time but prevents your team from doubting the data in the first days and returning to the old table. With Magento customer management in place, the new file is then the place where customer knowledge is maintained. Introducing Magento customer management this way builds trust in the team because errors stand out early and are easy to fix. Good Magento customer management also makes later extensions such as quotes or invoices easier.

06

When the standard is enough and when an extension makes sense

The standard is enough if you serve mainly consumers, offer little advice and do not maintain conditions per customer. Then a few additional attributes are often enough, and the effort is low.

An extension pays off if several employees work with the same customers, conditions are individual or customer knowledge sits in heads and mailboxes today. Then a shared file saves time daily and prevents knowledge from getting lost when an employee leaves.

If you already use a CRM or an ERP, an integration is often better than a second customer file. You find information on this on the page on the Magento connector. We advise which way means less duplicate work for you.

07

How we implement Magento customer management in the admin

We build extensions as own modules according to the standards of Magento, without interventions in the core. Lists in the admin arise as overviews with filters, sorting and export, forms for editing as forms with checks, and you define settings yourself in the admin without every change needing a development. That keeps the shop update-capable and lets other developers join in later.

Every function gets permissions. In the admin roles can be created with exactly the rights a task needs so that, for example, sales may edit quotes but not change prices. In addition it can be recorded who changed what and when if your process demands it.

In doing so we use what Magento already can instead of rebuilding it: orders, invoices, customer accounts, price rules and inventory management belong to the standard and remain the basis. Our extensions build on it and supplement what your process additionally needs.

With Magento customer management we pay special attention to usability. A file that is laborious to maintain is not maintained. Therefore we keep forms short, set sensible defaults and show the most important details already in the customer list. Magento customer management should be faster in daily work than the table it replaces.

Technically all additions hang on the Magento customer account. That has a practical advantage: whoever opens a customer in the admin sees master data, contact persons, conditions, notes and orders in one view, and Magento customer management remains the common basis for later extensions such as quotes or invoices.

08

Typical pitfalls of Magento customer management

These points often come up in projects.

  • Data protection

Notes and documents contain personal data for which deletion periods and access rights apply.

  • Duplicate accounts

The same company exists several times because accounts were created without a check.

  • Free text instead of fields

Important information sits in notes and cannot be evaluated.

  • Too many required fields

Maintenance becomes so laborious that nobody does it.

  • Import errors

Old data arrives with duplicates and wrong encoding.

  • Rights

Everyone sees all customers although only the manager needed access.

With clear required fields, a duplicate check during import and roles with graded rights most points can be avoided. For data protection, agree deletion periods with your data protection adviser; we implement them technically but do not give legal advice.

09

How a project for Magento customer management runs

We keep the start deliberately short so that you quickly see whether and how your process can be mapped in the admin.

01

Inventory of the processes

We record how you work today: who processes what, which lists and tables exist besides the shop and what is to be replaced in the admin.

02

Concept and draft

We sketch the extension in the admin, show you forms and lists and clarify rights and special cases before anything is built.

03

Implementation

The functions arise as modules according to Magento standards, one by one and with a log, without interventions in the core.

04

Test and start

You work with test data and real examples, then we start step by step and accompany the first weeks.

With Magento customer management we usually begin with a trial: we take over a few real customers into the new file and check with your team whether fields, lists and rights hold up in daily work. Only then is the whole stock taken over.

10

Three typical constellations (examples, not customer references)

The following examples are constellations from practice, not statements about particular customers. In the first case a wholesaler keeps customer contacts in a table that only one person understands. We take the data over into contact persons and notes in the admin so that sales can call and document from the customer account.

In the second case a manufacturer has customers with different payment terms and discounts. These used to lie in price lists and emails. With conditions on the customer account they flow automatically into quotes and invoices and no longer have to be entered by hand.

In the third case a small team looks after many customers and loses inquiries. With manager, follow-up and a list of customers without an order in the last year, a simple process arises that does without a CRM of its own.

Whoever wants to introduce Magento customer management asks about the effort first. We estimate Magento customer management after an inventory, at 30 euros net per hour, and you see beforehand which part brings the greatest benefit. Magento customer management can be built in stages, and Magento customer management is also possible for B2B businesses. Whether Magento customer management in the admin or an external system fits better is decided in the end by your process, not by our preference.

11

Rights, security and data protection with Magento customer management

In the admin several people work with business data, so clear rules apply. Every person gets a role with exactly the rights they need, access belongs to personal accounts, and the login to the admin can be secured with a second step. Credentials do not lie in the source code but in the protected configuration.

When testing we work with test data or anonymized data as far as possible. As soon as developers get access to personal data, for example customer accounts or orders, an agreement on commissioned data processing is needed. We clarify that before the start so that you are legally well set up. These notes are not legal advice, the concrete arrangement depends on your company.

12

Operation, updates and care of Magento customer management

An extension in the admin is not a one-off project but belongs to ongoing operation. Magento updates, new requirements and changed processes demand care. Therefore the planning includes an agreement on how updates are tested and who approves them. Ongoing care can be regulated through a maintenance contract that covers updates, monitoring and error fixing.

Documentation is part of the delivery. You receive a description of the functions, the roles and the settings so that your team or another provider understands the extension and can continue it. Source code and access stay with you, and backups belong to every operation.

13

Effort and price of Magento customer management: how we calculate

A flat figure for Magento customer management would be unreliable because the effort depends on your processes. It is determined by the number of functions, the number of special cases, the roles and rights and the reports you need. Much of it already exists as a building block for customers that we adapt to your processes, and that lowers the effort compared with a new development.

We work with an open hourly rate of 30 euros net, without emergency surcharge. After the inventory you receive a written estimate that lists the functions individually so that you can control scope and order yourself. All prices are on the page pricing.

Besides the development, include the running items: hosting, maintenance and, where applicable, licenses. We show these items separately in the estimate so that you can compare the solution with an external ERP over several years, including its licenses and the connection.

14

What you do not get from us and how references stand

An honest offer includes naming the limits. We do not sell a ready-made ERP made of Magento but extend the admin according to your processes. For the areas named here there are extensions that we have already implemented for customers and adapt to your processes on request. They are not off-the-shelf products with a list price but building blocks that we tailor with you.

Magento does not replace a full ERP with financial accounting, payroll or production. We tell you openly when an external system makes more sense, and then connect it, see the page on the Magento connector. We name customers only with their consent, and in the first conversation we gladly talk about comparable constellations.

For invoices and other documents tax requirements apply, for example for numbers and immutability. We give no legal advice but implement the rules agreed with your tax adviser technically. We are a web agency in which fixed freelancers work together, all from home offices, and tell you early whether and when we have capacity.

A customer file that fits daily work

With extended Magento customer management your employees find everything about a customer in one place. A first conversation costs nothing and commits you to nothing.

Frequently asked questions about Magento customer management

Can several contact persons per company be kept?

Yes, with an extension. In the standard there is one account with addresses; we add contact persons as own entries on the customer account.

Can notes and tasks be kept on the customer?

Yes. Notes with date and author as well as follow-ups are typical extensions that we implement project by project.

Is it a replacement for a CRM?

No. It covers the daily customer file, not sales pipeline or marketing automation. Where more is needed we connect a CRM.

What about data protection?

We implement roles, access rights and deletion periods technically. The legal assessment you clarify with your data protection adviser.

Does Magento replace a full ERP?

No. For small companies with simple processes Magento is often enough, a full ERP with financial accounting, payroll or production it does not replace. We tell you openly when an external system makes more sense.

Are there ready-made extensions off the shelf?

No. We have building blocks from customer projects that we adapt to your processes on request, and we do not sell packages with a list price.

What does Magento customer management cost?

That depends on functions, special cases and roles. We estimate in writing after an inventory, the hourly rate is 30 euros net.

Who maintains the extension after the start?

That can be regulated by a maintenance contract. Without care extensions can fail on Magento updates.

How do we start?

With a short message through the contact form. Describe how you work today and what is to become better in the admin. We reply within 24 hours on working days.
