Magento Pimcore: bring product data and media from your own data model into the shop

Do you use Pimcore for product data, media or master data and want to connect a Magento shop? Because every Pimcore has its own data model, we develop Magento Pimcore project by project, according to your structure and with a log that makes every error visible.

Pimcore is an open source platform for product information, digital media and master data. Unlike a fixed product information system, you create your data model there yourself. That makes Pimcore flexible and the connection to a shop a task that has to follow your structure. This page describes how we implement Magento Pimcore, how it works technically and where the pitfalls lie.

An overview of the ways of integration is given by the guide to ERP integration, and the principles apply here too. For another PIM read the page on the Akeneo integration, in general the page on PIM integration and the overview of connectors. An introduction for beginners is the guide connect Pimcore to Magento.

01

Pimcore at a glance: a platform with its own data model

Pimcore is an open source platform that builds on the Symfony framework and manages product information, digital media and master data. There you define your own classes with your own fields, for example for products, manufacturers or accessories, and link them with each other. Media lie as assets in the same platform. Unlike a system with a fixed structure, every Pimcore looks different.

For Magento Pimcore that means: there is no standard way that applies to everyone. First it must be clear which classes and fields describe the products at your company, how variants are structured and which data the shop needs. Pimcore is the leading system for this data, Magento the output channel. Prices and stock, on the other hand, usually come from the ERP or merchandise management.

In addition Pimcore is often used not only for products but also for customer data, content or media. The integration restricts itself to what the shop needs and leaves the rest alone. Magento Pimcore therefore begins with an inventory of your data model and the question which parts of it should appear in the shop.

The division of labor also changes: the maintenance of product data lies with those who know the products best. For the shop this means that changes to Pimcore-led fields in the shop itself are not permanent. Your team must know that, and we record it in the documentation and, where sensible, in notes in the admin.

02

What Magento Pimcore synchronizes between platform and shop

Which data flows in Magento Pimcore you define with us in the inventory. Typically there are five areas.

Data model and attributes

The fields of your Pimcore classes are mapped in Magento as attributes and attribute sets. We define with you which fields appear in the shop.

Products and variants

Products and their variants go to Magento and are created there as simple or configurable products, with relations such as accessories or alternatives as far as the shop uses them.

Categories

The structure by which Pimcore groups products is mapped to the category tree in the shop or maintained there independently.

Media

Images and documents from the assets are taken along and assigned in the shop. With large volumes media run separately and in the background.

Languages

Translations from Pimcore are assigned to the matching store views in Magento.

Not every Magento Pimcore project needs all five areas. Often it begins with products, attributes and images and later grows by relations and multilingual content. This way you see results quickly and can use the budget in stages.

03

The data flows of Magento Pimcore at a glance

The table shows a typical pattern. In your business it may differ, and that is exactly what we clarify in the inventory.

DataLeading systemDirectionTypical rhythm
Attributes and data modelPimcorePimcore to shopon change of the structure
Product texts and attributesPimcorePimcore to shopregularly or on change
Variants and relationsPimcorePimcore to shopregularly or on change
Images and documentsPimcorePimcore to shopon change, in the background

With Magento Pimcore a clear rule on data ownership prevents most disputes. Whatever can be changed in the shop and in Pimcore leads to contradictions sooner or later. That is why we define exactly one leading system per type of data. The table also shows that prices and stock usually do not come from Pimcore: whoever wants to maintain them there needs a separate data flow.

04

The interfaces of Pimcore: what is technically available

For Magento Pimcore, Pimcore offers with the Datahub a component that provides data through GraphQL. According to the documentation of the vendor, data objects and assets can be queried through it and, depending on the configuration, also changed. In the admin you define which fields are visible to the outside, and access is protected by a key. Filters, pagination and sorting can be activated.

Because every Pimcore installation has its own data model, the queries also differ depending on the class. We set up the configuration so that the shop receives exactly the fields it needs and no more. That keeps the queries lean and protects data that does not belong in the shop.

If the standard interface is not enough, for example because calculations or special processes are needed, Pimcore can be supplemented by own extensions because it builds on a common framework. Whether that is needed is shown by the inventory, and we tell you openly if the simple way is enough.

05

Ready-made way or individual development for Magento Pimcore

Unlike systems with a fixed structure there is no standard connector for Pimcore that fits every data model. Add-on products and templates can be a basis, whether they fit your structure we check honestly before a decision. If an existing product covers your requirements, it is often the more economical choice, and we will tell you so.

An individual development for Magento Pimcore pays off if your data model needs its own ways: special assignments, relations between products, rules on creation or large data volumes that demand speed. It is more expensive at the start but fits exactly. Include the care as well, because an individual development needs someone who looks after it.

If more than two systems are connected, for example Pimcore, ERP, shop and shipping provider, a middleware can additionally make sense. The decision aid is in the guide to ERP integration.

06

The Magento side: how Magento Pimcore is implemented in the shop

On the Magento side we build the integration as its own module according to the standards of the system, without interventions in the core. The module uses the interfaces and queues of Magento so that transfers run in the background and the shop does not become slower for visitors. Orders are placed in a queue on arrival and processed there until the ERP has confirmed them.

Prices by customer group, tier prices and several warehouses are mapped by Magento with its own functions that the integration fills. Where possible we use these standard functions instead of inventing our own tables. That keeps the shop update-capable and lets other developers join in later.

In the admin you see what was transferred: a log shows date, record and result, with a filter for errors. For the peculiarities of Pimcore we add settings in the admin, for example assignments of payment methods, shipping methods and tax classes, so that changes need no development.

With Pimcore your own data model determines the assignment, so Magento Pimcore gets settings in the admin in which you can adapt the assignment of fields and categories yourself, without every change needing a development.

07

Typical pitfalls with Magento Pimcore

We see these points again and again in projects. They can be planned if they are known early.

  • Free data model

Every installation looks different, and there is no ready-made assignment that fits without checking.

  • Too many fields

All fields are transferred although the shop needs only part of them, and the queries become slow.

  • Relations

Links between products, for example accessories, are mapped wrongly or not at all in the shop.

  • Large volumes

A complete synchronization with every change overloads the shop instead of transferring only what has changed.

  • Double maintenance

Texts are maintained again in the shop and overwritten at the next synchronization.

  • Missing monitoring

A product that could not be created is silently missing in the shop because nobody looks at the log.

An integration for Magento Pimcore should also make errors visible: a product that could not be created appears with the reason in the log instead of silently missing. That increases reliability in daily work considerably and is standard with us.

Security and data protection with Magento Pimcore

An integration connects two systems with business data, so clear rules apply. The exchange runs encrypted, credentials do not lie in the source code but in the protected configuration, and the integration receives only the rights it needs. Access belongs to a separate service account, never to a private account of a person.

When testing we work with test data or anonymized data as far as possible. As soon as developers get access to personal data, for example customer accounts or orders from Pimcore, an agreement on commissioned data processing is needed. We clarify that before the start so that you are legally well set up.

The log of the integration contains what is necessary for operation but no credentials and no unnecessary personal data. Retention periods are defined with you. These notes are not legal advice, the concrete arrangement depends on your company.

09

How a project for Magento Pimcore runs

We keep the start deliberately short so that you quickly know whether and how the integration is feasible.

01

Inventory

We clarify version, operation, access and contacts at Pimcore, the desired data flows and the special cases. The result is a short concept.

02

Test environment

We work against a test system of Pimcore and a Magento development state, never first against live data.

03

Implementation

The data flows are built one by one, with a log, repetition on errors and clear rules for conflicts.

04

Test and start

You check with real examples, then we start step by step and look at the log together in the first weeks.

Also with Magento Pimcore you stay informed between the steps: you receive a short status of what is done, what comes next and where we need your decision. We record decisions in writing so that it stays traceable later why something was built this way.

10

Three typical constellations (examples, not customer references)

The following constellations are examples from the practice of Magento Pimcore projects, not statements about particular customers. The first is a manufacturer with technical products whose data has many attributes and relations, for example accessories and spare parts. The challenge lies in mapping these relations in the shop and in the question which attributes customers really need.

The second constellation is a company that uses Pimcore for products and media and serves several shops. Here we define which data is the same for all shops and which differs per shop, and build the assignment so that a new shop can be connected without new development.

The third constellation is a business that introduces Pimcore while the shop is already running. The data model is still emerging, and the integration grows along. Here we recommend connecting a small part first and extending the data model only when the assignment has proven itself.

In all three cases a small trial pays off: before the whole catalog is transferred, the integration transfers a selection of typical products. You check the result in the shop, and only then does the full synchronization run. This way assignment errors show up early and cost little.

11

Operation, monitoring and care of Magento Pimcore after the start

An interface is not a one-off project but ongoing operation. After the start a log monitors every transfer: what was transferred when, what failed, what is repeated? Errors that cannot be fixed automatically are reported visibly so that nobody learns of them only through a customer complaint.

Updates change the situation. A Magento update, a new state at Pimcore or a change of the vendor interface can affect the integration. Therefore the planning includes an agreement on how updates are tested and who approves them. Ongoing care can be regulated through a maintenance contract that covers monitoring, updates and error fixing.

Documentation is part of the delivery. You receive a description of the data flows, the assignments and the rules for special cases so that your team or another provider understands the integration and can continue it. Source code and access stay with you.

12

Effort and price of Magento Pimcore: how we calculate

A flat figure for Magento Pimcore would be unreliable because the effort depends on your constellation. It is determined by the number of data flows, the quality of the data in Pimcore, the number of special cases with prices, warehouses and customers and the required timeliness. A data flow in one direction is built much faster than a synchronization in both directions with conflict rules.

We work with an open hourly rate of 30 euros net, without emergency surcharge. After the inventory you receive a written estimate that lists the data flows individually so that you can control scope and order yourself. For clearly defined packages a fixed price is also possible. All prices are on the page pricing.

Besides the development, include the running items: hosting, maintenance and, where applicable, licenses or fees for Pimcore and for additional services. We show these items separately in the estimate so that you can compare quotes over several years.

13

What you do not get from us and how references stand

An honest offer includes naming the limits. We do not sell a ready-made connector off the shelf but develop Magento Pimcore project by project according to your processes. That means: we implement exactly what you need, but not in a day and not for a flat price that cannot be calculated beforehand.

We are a web agency in which fixed freelancers work together, all from home offices. We are not a large agency with a hundred employees and cannot take on every project at every time. We tell you early whether and when we have capacity. We name customers only with their consent, and in the first conversation we gladly talk about comparable constellations.

We give no legal advice. Questions about commissioned data processing, data protection and the license terms of Pimcore you clarify with your legal adviser and the vendor. What is technically possible depends on version, operation and license of your system and is checked in the inventory.

Let us connect Pimcore and Magento

With a clean Magento Pimcore integration you maintain product data in one place only. You do not have to decide anything today: a first conversation clarifies what is feasible and costs nothing.

Frequently asked questions about Magento Pimcore

Is there a standard connector for Pimcore and Magento?

Because every Pimcore installation has its own data model, a standard way rarely fits. Before the quote we check what can be used.

Which interface does the integration use?

With Pimcore the Datahub offers a GraphQL interface for data objects and assets. What is available in your version and configuration we clarify in the inventory.

Are prices and stock transferred from Pimcore?

Usually not, because they lie in the ERP. Whoever maintains them in Pimcore needs a separate data flow, which we build if needed.

We are only just introducing Pimcore. Is that a problem?

No, on the contrary: the integration can grow along. We recommend connecting a small part first and extending the data model step by step.

Do you develop a ready-made connector for purchase?

No. We develop the integration project by project according to your processes. That means a better fit but also an estimate instead of a list price.

What does Magento Pimcore cost?

That depends on data flows, special cases and the quality of the data in Pimcore. We estimate in writing after an inventory, the hourly rate is 30 euros net.

Who maintains Magento Pimcore after the start?

That can be regulated by a maintenance contract. Without care an interface can fail on updates. More on the page on maintenance packages.

Do you need access to our system?

We need access to a test system of Pimcore and to the interfaces. You define the permissions with your IT department, and we touch productive data only after approval.

How do we start?

With a short message through the contact form. Please name your system, the version and the desired data flows. We reply within 24 hours on working days.
